The Proposal Coordinator/Proposal Writer supports the company's Proposal Management teams by conducting research, analyzing Federal solicitations, developing proposal content, and assisting with the preparation of high-quality, compliant proposals. This position contributes to all phases of the proposal lifecycle, from opportunity analysis through final submission.
The successful candidate is a strong writer/editor who can translate technical information into proposal content and assist with editing/updating inputs from other contributors. The position requires the ability to manage multiple assignments, collaborate with subject matter experts, and independently prepare proposal sections.
Responsibilities include, but are not limited to:
- Coordinate and facilitate proposal schedules including maintaining distribution lists, maintaining calendars, maintaining communications, scheduling meeting and reviews, etc.
- Detailed analysis and decomposition of Federal solicitation packages to ensure compliance and responsiveness of proposal (e.g., compliance matrices, outlines, templates, volume organization, etc.)
- Coordinate the preparation and submission of proposals ensuring compliance with all requirements and deadlines
- Ensure that all proposal elements are completed on time, are of high quality, and are compliant with the RFP or RFI requirements
- Coordinate with subject matter experts to gather technical information and transform it into customer-focused proposal content.
- Coordinate collection of supporting materials including technical write-ups, resumes, past performance information, standard forms, etc.
- Assist with proposal production activities, including formatting, document assembly, graphics coordination, copy editing, and final quality reviews.
- Support review cycles and conduct research and provide feedback regarding themes, customer issues, etc.
- Assist in developing and maintaining past performance databases and proposal templates.
- Manage proposal content library, ensuring up-to-date language is available.
- Support proposal kick-off and review meetings as needed to include assisting with preparation of slide decks, participating in meeting presentation, tracking action items, etc.
Basic Qualifications:
- Bachelor's Degree with 3-5 years of professional analysis/research/professional writing experience.
- Understanding of, and experience in developing compliant proposals that meet all Request for Proposals, Task Order, and IDIQ responses under strict milestones and deadlines.
- Excellent writing, editing, organizational, and communication skills.
- Strong analytical and research capabilities.
- Ability to interpret Federal solicitations and identify proposal requirements.
- Ability to work within timelines to meet deadlines (possible nights, weekends, and holiday times).
- Ability to work within both team environments and independently.
- Ability to create original content in collaboration with internal/external subject matter experts.
- Fluency with Microsoft Office (Word, PowerPoint, Excel) SharePoint, and Adobe.
- Ability to manage multiple projects simultaneously.
Preferred Qualifications:
- Experience supporting proposals for Federal agencies.
- Experience preparing compliance matrices, proposal outlines, and proposal management artifacts.
- Knowledge and understanding of the Federal government's competitive acquisition process and regulations.
- Experience conducting RFP review and developing a response strategy.
