Job Description Summary:
Specialty Services Coordinator - Donor Relations Concierge
Serves as a key liaison for donor, VIP, and prospect relations, delivering a high-touch, concierge-level patient experience. Partners with senior leadership to conduct patient rounds, coordinate personalized services, and proactively address concerns across inpatient, emergency, and outpatient settings. Manages Careline communications, donor engagement, and grievance resolution while collaborating with clinical and non-clinical teams to expedite services and ensure satisfaction. Supports relationship-building initiatives, donor program education, and operational reporting to enhance the overall donor and patient experience.
Position Responsibilities
- Maintains relationships with donors and prospects by scheduling appointments, assisting them with any requests and meeting them in person when necessary.
- Participates in rounds with SVP on patients who are Donors, VIPs and Prospects when they are in inpatient, Main Emergency and select outpatient procedure departments to review their experience and establish an ongoing relationship of trust.
- Manages the intake Donor/Founders calls as needed. Monitors and inputs donor calls into the Careline Call Log (ex. Salesforce).
- Participates with Donor Relations to cover the 24 hour Careline on call service including appointment scheduling, expedited clinical services, escorting and rounding etc.
- Schedules time for Directors and Coordinator to meet all donors and review the benefits of being a Donor including the access to the 24/7 Careline.
- Manages investigations and follow-up responses to patient/family grievances (online consumer reviews/surveys). Enters complaints/grievances into internal reporting system in a timely manner.
- Liaises with clinical and non-clinical departments to address patient’s needs/concerns and provide satisfactory resolutions.
- Composes and tracks follow up correspondence to patients for Directors/SVP, physicians and/or director’s signatures.
- Participates in education programs as it applies to patient and donor relations.
- Assists patients and donors in the compliance of hospital policies and procedures as it relates to patient satisfaction, service recovery and grievance resolution as well as following and enforcing the Employee’s Standards of Performance.
- Participates in special events to promote relationships with prospective donors during business hours as well as evenings and weekends to cultivate relationships with perspective Donors. Cultivates relationships with donors to increase their potential of upgrading their contributions.
- Coordinates clinical and non-clinical services and amenities to meet the needs of the Donor, Prospect and VIP patients to expedite the requests and experience.
- Consistently coordinates and reinforces hospital-wide, the Founder/Society Roster when Donors are using a particular department's service.
- Provides as necessary education to employees and physicians the purpose and goals of the donor relations program.
- Participates in weekly Foundation and Donor Relations meetings to review and discuss current donor’s and prospect’s experiences.
- Communicates effectively and builds working relationships with case managers, physicians, nurses, residents, therapists and other community healthcare professionals to expedite the donor experience in a timely manner.
- Utilizes EPIC medical record system to confirm appointments, status reports in coordination with the SVP.
- Prepares special reports, summaries, PowerPoint presentations and data analytics including spreadsheets as needed.

Experience
- Two years experience in patient/healthcare relations or human services field
- Excellent communication skills
- Experience providing 5 star hotel concierge service preferred

Concierge roles don't automatically qualify as specialty occupations under H-1B visa. Document how your hospitality management or tourism degree directly maps to the technical duties in the job description before your OPT ends.

STEM OPT extensions require your employer to be enrolled in E-Verify. Filter your concierge job search to hotel groups and property management firms that have completed E-Verify enrollment before you accept an offer.
Check prevailing wage before negotiating
Use the OFLC Wage Search to look up wage levels for your specific concierge role by city. Employers filing an LCA must meet the prevailing wage, so knowing Level I and II rates gives you a grounded baseline for offer discussions.
File your OPT application 90 days early
USCIS allows you to apply for OPT up to 90 days before your program end date. Submitting late pushes your EAD arrival past your start date, which disqualifies you from working even if your employer is ready to hire.

Your employer must complete a formal training plan on Form I-983 for STEM OPT approval. Ask your hiring manager before signing an offer whether the property has completed this for prior OPT employees and who manages the DSO reporting cycle.
Concierge OPT: Frequently Asked Questions
Does a concierge job qualify for OPT work authorization?
Yes, if your degree is in hospitality management, tourism, hotel administration, or a related field and the concierge role requires that specific education. OPT authorizes work directly related to your major. A general arts or business degree paired with a concierge role may face DSO scrutiny if the connection isn't clearly documented in your job description.
Can I do STEM OPT extension as a concierge?
Only if your degree program carries a STEM-designated Classification of Instructional Programs code. Hospitality management programs are sometimes STEM-designated, but most are not. Check with your DSO and verify your program's CIP code against the DHS STEM list before assuming you qualify for the 24-month extension.
How do I find concierge employers who sponsor visas?
Sponsorship history isn't listed in job postings, but it shows up in DOL LCA disclosure data. What happens to my OPT if my concierge job ends between contracts or seasons?
OPT allows up to 90 days of unemployment during your authorization period, or 150 days if you've been granted a STEM extension. Seasonal gaps between hotel contracts count against that limit. If you lose your concierge position, your 60-day grace period to find new employment or change status begins when your OPT authorization period ends, not when the job ends.
Does a concierge role at a private club or residential building count the same as a hotel for OPT purposes?
Yes. OPT authorization is tied to your degree field and the nature of the work, not the employer's industry classification. A concierge role at a residential high-rise, private members club, or corporate campus counts as qualifying employment as long as the duties align with your hospitality or service management degree and your DSO documents it accordingly.
