Job Description Summary
The Purchasing / Receiving Clerk is responsible for receiving all food, beverages, and general items.

Special Qualifications, Education or Licenses:
- Must be able to read and write.
- Basic Math skills
- Basic computer skills
- Required: Computer Literacy: Daily use of Inventory management Systems like Birch Street or E-pro and basic Excel for tracking delivery logs.
- Required Food Safety Knowledge: Familiarity with HACCP or Serv Safe standards (specifically for cross-contamination and the "First In, First Out" or FIFO principle)
Essential Elements:
- Regular and punctual attendance.
- Ability to adhere to Royal Sonesta Hotel Houston grooming standards.
- Ability to push and/or pull a cart weighing approximately 100 pounds, including up and down inclines.
- Time management: we are a high-volume hotel that has strict "delivery windows." A clerk must manage a chaotic schedule of multiple trucks arriving simultaneously.
- Ability to constantly lift and move approximately 75 pounds, including setting and storing in overhead areas.
- Ability to carry out all safety and emergency procedures (for example, fire, crowd control, inclement weather, and bomb threats).
- Ability to bend, squat, kneel, climb and reach.
- Ability to stand and walk on a continuous basis.
- Ability to properly maintain and properly operate electronic equipment (for example, calculators, telephones, computers, printers, pallet jacks, etc.)
- Ability to stand for prolonged periods of time.
- Ability to work in extreme temperatures.
Job Tasks:
- Ensure all ordered products are being delivered, unloading trucks, if necessary, by matching the ticket or packing list with the receiving worksheets to verify quantity, description, and cost of products.
- Security maintains a secure loading dock area to prevent "back-door loss" or unauthorized entry into the hotel.
- Order Matching: cross-referencing all incoming shipments with Purchase Orders (POs) and invoices to ensure quantities and specifications are exact.
- Discrepancy Reporting: immediately documenting shortages, overages, or damaged goods and coordinating with the Purchasing Manager to resolve credit memos.
- Reports all back orders, shortages, or price discrepancies to the purchasing department immediately. After the items have been received, invoices are attached to the receiving worksheets, signed and dated by the receiver in I.P., and completed.
- Shortages on all invoices, packing lists, or delivery receipts, and initialed by the receiver and delivery driver on all copies of the invoice.
- Contact storeroom clerks after items are received to put away in the storerooms or deliver to individual departments at their earliest convenience.
- Always maintains work area in a neat and clean manner.
- Perform inventories at the end of the month or on a weekly basis for control purposes.
- To perform other work-related duties as assigned by Management.
