A day in the life
As a Real Estate and Customer Experience Coordinator, you would be part of a Customer Experience Team (CET) that strives to provide best in class service to our customers in the Nashville market. Our customer base is diverse and we’re looking for someone who enjoys working with the biggest names in e-commerce logistics and warehouse operations as well as small shop operations.
Key responsibilities include:
- Provide operational and communications support to enable the CET to dedicate more time to meeting their customers’ needs.
- Assist with Customer Event planning and Gift ordering
- Coordinate customer support requests & maintain customer payment information and provide actionable insights for the CET.
- Coordinate and maintain vendor contracts and payments.
- Maintain Vacancy contracts and billings (janitorial, HVAC, utilities, inspections, etc).
- Prepare annual billing schedules and CAM Reconciliation letters for customer distribution.
- Maintain accurate records for a variety of areas including utility meters, lockboxes, fire alarm codes, and customer contact information.
- Review monthly rent charges and communicate any increases to the customer.
- Oversee Accounts Payable and Accounts Receivable ledgers, initiating contact with internal accounting on any adjustments needed.
- Work with Property Managers (Real Estate & Customer Experience Managers), Maintenance Technicians, and vendors to coordinate the scheduling of work when maintenance and inspection requests are received.
- Adhere to Company property management policies and procedures, codes, regulations and governmental agency directives. Maintain compliance by ensuring all property records are maintained in accordance with all legal requirements and Company policies and/or practices.
- Process Expense Reports for assigned CET members monthly.
- Shared Office Managerial responsibilities, including ordering office supplies, break room items, managing access control, parking badges and enforcement, ordering lunches for team meetings, etc.
Building blocks for success
Required:
- Requires a High School Diploma or General Education Degree (GED).
- 1+ years of experience in administrative role, customer service, real estate or related field.
- Excellent communication and interpersonal skills, with a strong ability to build and maintain relationships with internal and external customers, team members, and external partners to complete various projects and assignments.
- Strong organizational and time management skills, with the capacity to prioritize tasks and meet deadlines, with a sense of urgency and follow-through.
- Good mathematical and analytical skills.
- Proficient knowledge of Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook).
- Positive, proactive work ethic and attention to detail. Works well in a team.
- Show tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
Preferred:
- Valid driver’s license and the ability to travel to multiple properties.
- Knowledge of CRM systems as Yardi, Salesforce, PeopleSoft
- Familiarity with real estate processes and documentation, such as purchase agreements, leases, and property management responsibilities.
- Candidate will demonstrate willingness and capability to leverage emerging technology, automation, and AI tools to improve efficiency, quality, and speed. Exercises sound judgment, creative thinking, and accountability for outcomes.
Hiring Salary Range of: $28.85 - $33.65/hour ($60,000 - $70,000). Salary and total compensation (target bonus) to be determined by the candidate’s location, education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
