ABOUT THE ROLE
The Customer Service Representative (Intake) serves as the primary point of contact for patients, healthcare providers, and referral sources throughout the intake process. This role ensures patients receive respiratory equipment and support by managing inquiries, processing orders, verifying documentation, and coordinating timely service delivery.
This role reviews medical records, verifies insurance coverage, explains patient financial responsibility, collects required payments, and ensures all documentation is complete prior to delivery. This position works closely with referral sources, billing teams, warehouse staff, and clinical partners to create a smooth and efficient patient experience. This role requires strong attention to detail, excellent customer service skills, and the ability to manage multiple priorities while maintaining compliance and service standards.
WHAT YOU'LL DO
- Respond to calls, emails, faxes, and new referrals, ensuring all new orders are acknowledged within 24 hours.
- Process respiratory equipment orders accurately and ensure available orders are completed within 72 hours.
- Review prescriptions, medical records, and required documentation prior to delivery and setup.
- Verify insurance coverage, explain co-pays, deductibles, and coinsurance, and collect required patient payments.
- Maintain communication with referral sources, providers, and internal teams to provide order updates and ensure timely service.
- Coordinate with warehouse and supply teams to confirm equipment availability and delivery readiness.
- Track pending orders, follow up on outstanding items, and support timely patient care and successful order completion.
