INTRODUCTION
The Surgery Coordinator Supervisor is responsible for daily oversight of all surgical scheduling functions, including supervision of the Surgical Coordinator staff, ensuring efficient processes and superior patient satisfaction. They will supervise the staff, by providing direct onsite assistance, weekly huddles and rounding, answering questions related to Surgical Scheduling and or Surgical Authorization, providing direct support to the assigned providers coordinating the surgical schedule, scheduling all pertinent testing to prepare patients for surgery, the Supervisor will submit request for prior authorization for surgical procedures as well as assist the coordinating team with the surgical process as needed. The Supervisor will submit weekly staff progress reports to the Service line manager ensuring correspondence is sent to the providers on a weekly basis, cases are scheduled within 1-3 business days, authorizations are submitted simultaneous with the procedure scheduling, provider outlook calendars are accurate, auth/cert fields are updated during scheduling and after auth is received. Patient correspondence and patient communication documented within the patient’s medical record, appropriate packets and documents are provided to the patients; and other duties as assigned.
ESSENTIAL FUNCTIONS
- Maintains effective collaboration between clinical and surgical departments, as well as other affiliated services and practices to ensure an integrated approach to providing quality surgical services.
- Provides ongoing training, mentoring and coaching to Surgery Schedulers on skills and procedural changes; assists in developing goals and work plans to increase productivity in surgical posting policies and procedures.
- Advises the Surgical Service Line Manager of any deficiencies in work-flow and making recommendations for ensuring smooth operations.
- Resolves daily operational issues for the surgical coordinator functions.
- Assists co-workers and Service line Manager as needed with special projects.
- Answers telephones and questions from patients, staff, surgery center or direct calls to appropriate staff.
- Schedules and/or confirms patient diagnostic appointments, surgeries or medical consultations.
- Assures block times are maintained for surgeons.
- Demonstrates knowledge of managed care plans and knows which procedures require preauthorization.
- Effectively communicates with patients, their family, physicians, physician’s staff and fellow employees.
- Develops guidelines for prioritizing work activities, evaluates effectiveness and modifies as necessary.
- Establishes deadlines and targets for work assignments.
EDUCATION and/or EXPERIENCE
- High school diploma or (GED) general education degree
- Minimum of five years related medical office experience
- Accurate data entry skills
- Current knowledge of payer requirements for referrals and preauthorization
- Knowledge of IDX or similar computerized billing system
- Knowledge of ICD-10 and CPT coding
- General understanding of back office operations
- Strong customer service skills
- PC proficiency
- Knowledge of medical terminology preferred
- Surgical posting, OR or Orthopaedic experience preferred

The referenced base salary range represents the low and high end of University of Maryland’s Faculty Physician’s Inc. salary range for this position. Some candidates will not be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, internal equity, responsibility factor and span of control, education/training and other qualifications.
