We are seeking a Project Operations Manager to act as the central link between Project Management, Finance, and external Partners. This role provides essential organizational and business process support within the Project Management Office (PMO), who will be responsible for the end-to-end administrative lifecycle of projects—from initial order entry and resource scheduling to revenue recognition and final audit.
Responsibilities:
- Operational Governance & Project Management: Oversee the end-to-end project initialization process; validate MSAs and complex quotes for fiscal integrity, architect project structures within NetSuite/SPP, and define strategic milestone billing schedules to optimize cash flow.
- Financial Oversight and Revenue Integrity: Partner with Finance to track project margins, manage billing/invoicing inquiries, and validate service estimates for accuracy. Perform the weekly revenue recognition workstream by auditing resource utilization against forecasts, authorizing timesheet adjustments, and resolving billing inquiries to ensure P&L accuracy.
- Compliance & Audit: Conduct comprehensive project audits across Finance and Professional Services to ensure all milestones are triggered, documentation and billings are completed. Proactively remediate project overruns, manage NOC (Notice of Change) impacts, and ensure all financial and hardware deliverables are reconciled prior to formal closure.
- Resource & Capacity Planning: Manage global resource allocation for 40+ internal resources and partners. Monitor utilization rates against targets using PSA tools (e.g., OpenAir/Suite Project Pro/Beeline) to ensure balanced workloads.
- Process Excellence & Continuous Improvement: Identify routine problems in current work processes and propose solutions to improve departmental efficiency. Own the development and continuous refinement of SOPs. Design and maintain leadership dashboards to track KPIs, including project health, margin performance, and cycle times.
Qualifications
- Experience: 5+ years in professional services operations, project management, or a similar role, ideally within a SaaS or hardware/manufacturing environment.
- Technical Proficiency: Expert-level knowledge of project management software (Jira, Asana, or Smartsheet) and CRM/PSA systems (Salesforce, Sage, NetSuite).
- Analytical Skills: Strong ability to translate complex data into actionable insights for executive-level reporting.
- Global Mindset: Proven experience managing distributed teams across multiple time zones and cultures.
- Education: Bachelor’s degree in Business, Engineering, or a related field. PMP or Prince2 certification is highly preferred.

- Communication: Strong ability to interface between Finance, Project Managers, and third-party Partners.
