INTRODUCTION
The position provides assistance to the manager and supervisor of the department on the day-to-day operations of the group travel department.
JOB DUTIES
- Processing contractual agreements, client/vendor accounting, processing legal names, rooming list and flight requests, reporting group details to necessary vendors.
- Client and vendor communication and customer service – Support group travel staff and travel advisors.
- Client and vendor processing of payments and tracking revenue at time of group closing.
- Review Group Sales Agent contracts and files for turnover to Group Coordinators. Using discretion, review and approve all contractual pricing and profit margin.
- Act as liaison to coordinate website updates for all group departures.
- Oversee preparation of client and tour manager documents for all departures.
- Oversee the operations of each group departure with appropriate coordinators.
- Advocate employee development through ongoing monitoring and training to ensure all staff is current on any changes to organizational policies and procedures.
QUALIFICATIONS
- High School GED Required
- 1-3 years Travel sales and service Required
- Computer proficiency and working knowledge of Outlook, Word and Excel software.
- Proved ability to communicate effectively and to coordinate people and activities.
- Familiar with client management and travel booking platforms preferred
SCOPE
- Work is accomplished with moderate supervision. Follows established and detailed directions. Work is reviewed for accuracy and overall adequacy.
- Provides resolution to an assortment of problems that are typically well defined, but some clarification or judgment is required to determine action, as additional information about the problem/task is discovered. Uses judgment within defined practices/procedures to determine appropriate action. Problem/Task resolution timeframe: Inclusive of shorter timeframes, but the majority of tasks take up to several weeks to resolve.
- Under general supervision, proceeds alone for regular duties, referring questionable cases to supervisor.

- Failure to achieve results or erroneous judgments may require the allocation of additional resources to correct and/or achieve goals.
- Contacts are primarily within the department or function with occasional cross-functional interfaces. Some limited external customer contact on routine matters.
