ROLE AND RESPONSIBILITIES
The Office Manager ensures smooth daily operations of the Bank’s Salt Lake City office, including front desk coordination, facilities management, vendor oversight, and administrative support for senior leadership. The role supports a professional, efficient workplace environment while coordinating meetings, travel logistics, and Board-related activities. This position serves as a central point of contact for employees, clients, visitors, and service providers, ensuring consistent execution of operational standards aligned with Bank policies. The Office Manager also contributes to workplace culture, event coordination, and cross-functional administrative support.
RESPONSIBILITIES INCLUDE:
- Office & Facilities Management: Oversees day-to-day office operations including front desk support, conference room scheduling, supplies, mail, and workspace organization.
- Vendor & Facilities Coordination: Acts as primary liaison with building management and vendors, ensuring timely maintenance, service delivery, and operational readiness.
- Executive Administrative Support: Provides administrative support to senior leaders including calendar management, travel coordination, expense processing, and meeting preparation.
- Board & Committee Support: Coordinates logistics for Board and Committee meetings, including scheduling and onsite execution.
- Meeting & Event Coordination: Plans and executes internal meetings, training sessions, and events, including catering, materials, and logistics.
- Culture & Workplace Experience: Supports office culture initiatives, employee engagement activities, and community-related events.
- Client, Visitor & Front Office Experience: Serves as the primary point of contact for clients, visitors, ensuring a professional and welcoming experience aligned with brand standards.
- Administrative Operations & Recordkeeping: Maintains organized records, directories, and administrative procedures to support efficient office operations.
- Onboarding & Cross-Functional Support: Supports new hire onboarding logistics and partners with HR and internal teams on administrative needs.
- Special Projects & Coordination: Assists with ad hoc projects and cross-functional initiatives to support both Bank and branch operations.
BASIC QUALIFICATIONS
- Experience in office management, executive administrative support, or workplace operations, preferably in a regulated or financial services environment.
- Familiarity with coordinating senior leadership activities, vendor management, and office operations processes is preferred.
- Strong organizational and multitasking skills with high attention to detail.
- Excellent communication and interpersonal skills with a professional presence.
- Proficiency in Microsoft Office and standard workplace tools.
- Demonstrates sound judgment, discretion, and professionalism in a fast-paced environment.
- Ability to manage multiple priorities while maintaining confidentiality and attention to detail.
- Capable of building strong relationships with internal teams, clients, vendors, and visitors and supporting senior leaders and Board-level activities.
