PURPOSE: The Purchasing Assistant Manager is a strategic and operational leader responsible for overseeing the daily procurement, receiving, and distribution lifecycle for all food, beverage, and janitorial needs across resort departments. In a high-volume luxury environment, this role ensures seamless operations by maintaining optimal inventory levels, securing high quality products, and supporting uninterrupted service delivery. This position plays a critical role in bridging vendor relationships with internal storeroom operations, ensuring clear communication, accurate forecasting, and efficient product flow.
Responsibilities
Staffing, Training, and Supervision
- Interview and hire Storeroom Clerks and Storeroom Crew Leader
- Explain and educate employees on storeroom procedures, products, and organization
- Help train and supervise storeroom personnel in all storeroom locations on all software procedures, products, and organization
Inventory Management & Product Ordering
- Assist the Purchasing Manager in day-to-day buying supplies, tracking deliveries, and making sure supplies arrive on time
- Inventory control, lead day-to-day and month-end inventories and quarterly physical stock-takes for all storerooms
- Compile all orders in a timely fashion to ensure no shortages or outages occur
- Order wine for The Brass Tag, Cast and Cut Seafood, Fireside, Royal Street Cafe, East Village, and future outlets
- Coordinate all goods deliveries and pick-ups
- Monitor inventory levels and coordinate with departments to forecast needs
Purchasing, Accounting, Vendor Relations, and Oversight
- Execute daily purchase orders for all Food, Beverage including beer, liquor, wine, also janitorial and other supplies on business demand and par levels
- Maintain accurate procurement records and documentations
- Implement and monitor strict security protocols for high-value assets, including liquor, wine, and food
- Coordinate closely with internal departments to understand what’s needed and when, so the company avoids shortages or overstocking
- Follow-up on orders to ensure correct delivery dates
- Make plant visits to various suppliers from time to time to remain familiar with their operation
- Review seasonal menus with Director of Beverage and all the chefs from each location and division
- Maintain an approved vendor list, auditing performance for quality, punctuality, and price compliance
- Discuss with vendors information related to product, price, availability, service, and delivery date
- Other duties as assigned
QUALIFICATIONS
- 2-3 years of work-related experience in working with food or in purchasing
- Must be 21 years or older
- Strong communication skills
- Proficiency in procurement software and Microsoft Office (especially Excel)
- Must be able to lift and carry at least 50 lbs regularly

Flex Year Round – may have periods of layoff or reduced hours
PAY:
$65-70K annually
