ABOUT THE ROLE
We are seeking a highly organized, detail-oriented Property Accountant / Bookkeeper to take leadership of the accounting, maintain accurate financial records, strengthen internal processes, and provide limited support for property and project operations.
This is an accounting-focused position, with approximately 80% of the role dedicated to accounting and bookkeeping and 20% to property operations, loan administration, compliance, and project support. The successful candidate will be comfortable working independently, managing multiple entities and properties, and communicating with leadership, vendors, tenants, and professional advisers.
PRIMARY RESPONSIBILITIES
Accounting and Financial Operations
- Maintain accurate financial records in QuickBooks Desktop and support property-level accounting functions in AppFolio.
- Record, categorize, and review banking activity across multiple bank accounts and properties.
- Prepare or review bank reconciliations and investigate discrepancies promptly.
- Manage accounts payable, including invoice review, approval routing, payment processing, and vendor record maintenance.
- Perform balance-sheet reconciliations, general-ledger reviews, and corrections or reclassifications.
- Prepare recurring financial reports, including profit-and-loss statements, balance sheets, property-level reports, and supporting schedules.
- Assist with month-end and year-end close, including gathering documentation and coordinating with leadership and outside accounting professionals.
- Calculate and track employee retirement-plan contributions and provide backup support for payroll processing.
- Maintain organized accounting documentation and support audit, tax, insurance, lender, and ownership requests.
- Develop and document accounting procedures, strengthen internal controls, and recommend process improvements.
- Support accounting-system improvements, including a potential migration from QuickBooks Desktop to QuickBooks Online.
Loan and Asset Administration
- Maintain loan records and track payment schedules, principal and interest activity, maturity dates, rate changes, covenants, and required reporting.
- Support loan servicing and lender communications, including maintaining documentation and responding to information requests.
SECONDARY RESPONSIBILITIES
Property Operations and Compliance Support
- Provide limited administrative support for communications with tenants, owners, vendors, lenders, insurers, and other business partners.
- Assist with property-management compliance, including maintaining records required under applicable laws, regulations, leases, and company policies.
- Track insurance requirements and certificates of insurance for properties, tenants, vendors, and contractors.
- Coordinate with legal counsel regarding lease documentation, agreements, compliance matters, and other property-related issues as directed.
- Assist with maintenance coordination, work-order follow-up, vendor scheduling, and documentation when needed.
Construction and Project Support
- Assist the project management team with construction, redevelopment, and capital-improvement projects.
- Track project schedules, budgets, invoices, change orders, commitments, and deliverables.
- Help coordinate documentation and communications involving contractors, architects, engineers, consultants, and municipal agencies.
- Organize permit applications, inspection schedules, regulatory records, and project files.
QUALIFICATIONS
Required
- At least 6 years of bookkeeping, accounting, or property-accounting experience.
- Strong knowledge of accounting principles and bookkeeping practices.
- Hands-on experience maintaining financial records in QuickBooks.
- Experience with AppFolio accounting functions, or demonstrated ability and willingness to learn the platform quickly.
- Proficiency in Microsoft Excel, including formulas, reconciliations, and financial schedules.
- Strong attention to detail, organization, follow-through, and problem-solving skills.
- Ability to prioritize competing deadlines and work independently with minimal supervision.
- Ability to handle confidential financial, employee, tenant, and ownership information with discretion.
- Availability to work during Pacific Time business hours and travel occasionally to the Burlingame office.

- Experience in property management, real estate accounting, or property-level bookkeeping.
