Accounting Support Specialist
Job Description
General Summary:
Reports to the GHRA Warehouse Accountant
Position Summary:
The Accounting Support Specialist supports the Accounting team with daily bookkeeping, financial transaction processing, account reconciliations, record maintenance, and general accounting activities. This position requires strong attention to detail, organization, accuracy, and proficiency in Microsoft Excel.
The ideal candidate is dependable, comfortable working with numbers and spreadsheets, and eager to learn accounting processes.
Key Responsibilities
- Support the Accounting team with maintaining accurate financial records and assisting with General Ledger activities.
- Process and analyze the accounts payable and accounts receivable processes, including reviewing invoice documentation, identifying exceptions, resolving discrepancies, and determining appropriate action in accordance with company policies and internal controls.
- Enter daily financial transactions and maintain organized digital and physical files for receipts, invoices, payments, and financial reports.
- Perform and review account reconciliations, investigate variances and unusual transactions, determine the source of discrepancies, and recommend or implement corrective actions.
- Identify and flag discrepancies, missing information, or unusual transactions for review by the Accounting team.
- Maintain the accuracy and organization of historical financial data and records.
- Communicate with vendors and creditors regarding invoices, payment schedules, outstanding credits, account balances, and other routine finance-related inquiries.
- Prepare basic financial summaries, reports, and supporting information for management review and periodic audits.
- Gather documents and prepare schedules and supporting information to assist with month-end closing and audit preparation.
- Assist with ensuring financial records and reports are complete, accurate, and properly maintained.
- Follow established accounting procedures, internal controls, and company policies.
- Exercise independent judgment in resolving accounting discrepancies, including determining when transactions require additional documentation, correction, escalation, or management approval.
- Perform other related duties and special projects as assigned.
Qualifications
- High school diploma or equivalent required.
- Strong Microsoft Excel skills and comfort working with spreadsheets.
- Strong attention to detail and accuracy.
- Good organizational and time-management skills.
- Ability to handle confidential financial information professionally.
- Strong written and verbal communication skills.
- Ability to work independently while also supporting a team.
- Willingness to learn accounting principles, processes, and systems.
Prior accounting experience or an accounting degree is not required.
Preferred Qualifications
- Experience with Excel functions such as sorting, filtering, formulas, and basic data analysis.
- Previous administrative, data entry, bookkeeping, office, or financial-related experience.
- Experience with an accounting or ERP system is a plus.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift to 15 pounds at a time.
