Harmony Hearts Counseling is seeking professional, organized, and compassionate Front Office / Intake Coordinators to join our team. We are hiring one coordinator for our Dallas office. This is an in-person position responsible for front-desk operations, client intake, referral management, appointment scheduling, and administrative support.

Responsibilities

• Welcome clients, parents, guardians, and visitors professionally and courteously.
• Answer incoming calls, respond to emails, and direct inquiries to the appropriate team members.
• Review new client referrals and follow up within 24–48 hours.
• Contact families to explain services, guide them through enrollment, and coordinate assessments.
• Collect and verify client demographic information, insurance details, and required intake documentation.
• Coordinate insurance verification with the designated team before services begin.
• Schedule assessments and coordinate appointments with clinicians and families.
• Send appointment confirmations, reminders, and scheduling updates.
• Maintain accurate referral records and update the Master Intake Spreadsheet.
• Document outreach attempts, family responses, referral status, and next steps.
• Follow up on incomplete paperwork, missing information, and unresponsive referrals.
• Coordinate with the Admin/HR team and clinicians to ensure timely intake processing and EHR setup.
• Maintain organized client files and handle confidential information in compliance with HIPAA and organizational policies.
• Support daily front-office operations and participate in required staff meetings.

Qualifications & Requirements

• High school diploma or equivalent required; additional relevant education is an advantage.
• Previous experience in front-office administration, medical reception, healthcare, behavioral health, or intake coordination preferred.
• Strong communication, customer service, organizational, and time-management skills.
• Proficiency in Microsoft Office, Outlook, Excel, and electronic calendars.
• Familiarity with EHR/EMR systems, electronic documentation, and appointment scheduling preferred.
• Knowledge of Medicaid, commercial insurance, and insurance verification processes is an advantage.
• Ability to manage multiple tasks, maintain accurate records, and follow through on deadlines.
• Professionalism, discretion, and understanding of HIPAA and client confidentiality.
• Bilingual English/Spanish proficiency strongly preferred.
• Must be available to work in person at the assigned office.

Work Schedule & Location

• Monday–Friday, 8:00 AM–5:00 PM.
• Full-time, in-person position.

Pay: $18.00 - $20.00 per hour

Expected hours: 40.0 per week
