Plastic Surgery Medical Assistant (MA)

Position Summary
Belcara Health is seeking a professional, organized, and patient-focused Medical Assistant (MA) to support our Plastic Surgery team. The primary focus of this position is to ensure an efficient, welcoming, and well-managed patient experience from the time the patient is brought into the clinical area through completion of the visit.
The Medical Assistant is responsible for rooming patients, initiating visit documentation, completing the Review of Systems (ROS), supporting patient flow, communicating wait times and delays, and assisting providers with procedures and treatments as needed. The ideal candidate is attentive, efficient, comfortable working in a fast-paced clinical environment, and committed to providing an exceptional patient experience.
Primary Responsibilities
Patient Rooming & Visit Preparation
- Promptly greet and room patients in a professional and welcoming manner.
- Confirm patient identity and prepare the patient for the scheduled visit.
- Obtain and document appropriate vital signs, medications, allergies, and other required clinical information.
- Ensure exam and procedure rooms are appropriately stocked, clean, and prepared for each patient.
- Anticipate provider needs based on the patient's visit type, procedure, or treatment.
Clinical Documentation
- Start the patient's visit note before the provider enters the room.
- Review and update relevant patient information in the electronic medical record (EMR).
- Complete and accurately document the Review of Systems (ROS) with the patient.
- Document the patient's primary concerns and reason for the visit according to established clinical workflows.
- Ensure documentation is complete, accurate, timely, and ready for provider review.
Patient Flow & Time Management
- Actively monitor the provider's schedule and patient flow throughout the day.
- Maintain awareness of how long patients have been waiting in exam rooms.
- Help keep visits moving efficiently while maintaining a high standard of patient care.
- Identify potential delays and communicate them promptly to the provider and appropriate team members.
- Prioritize tasks based on patient needs and the demands of the clinical schedule.
Patient Communication & Wait-Time Management
- Proactively notify patients when the provider is running behind schedule.
- Provide patients with realistic updates regarding anticipated wait times whenever possible.
- Check in with patients who have experienced an extended wait rather than allowing them to remain without communication.
- Respond professionally and empathetically to patient concerns regarding delays.
- Escalate significant delays or patient concerns to the appropriate team member when necessary.
Procedures & Treatments
- Assist Plastic Surgery providers with procedures and treatments as needed and within the Medical Assistant's training and scope of practice.
- Prepare patients, rooms, supplies, instruments, and equipment for procedures and treatments.
- Assist providers during in-office procedures and treatments as directed.
- Maintain appropriate sterile or clean technique based on the procedure and established clinical protocols.
- Assist with patient positioning, comfort, and safety during procedures.
- Provide or reinforce provider-directed pre- and post-procedure instructions as appropriate.
- Clean, disinfect, and prepare rooms and equipment following procedures according to established protocols.
- Anticipate provider needs to support safe, efficient procedures and minimize unnecessary delays.
Clinical & Team Support
- Assist Plastic Surgery providers and clinical team members throughout the patient visit.
- Support efficient room turnover between patients.
- Maintain appropriate clinical supplies and notify the appropriate team member when supplies need to be replenished.
- Follow Belcara Health policies related to patient privacy, infection prevention, safety, and clinical documentation.
- Collaborate with providers, nurses, medical assistants, patient coordinators, and other team members to create a seamless patient experience.
Other Duties & Responsibilities
The Medical Assistant may be asked to support additional clinical and operational needs of the Plastic Surgery practice, including:
- Assist with stocking, inventory management, and organization of clinical supplies.
- Prepare clinical areas for the start of the day and assist with end-of-day responsibilities.
- Assist with cleaning, disinfecting, and maintaining exam and procedure rooms.
- Support patient education and reinforce provider instructions as directed.
- Assist with clinical photography and other documentation according to practice protocols.
- Support pre-operative and post-operative patient workflows as assigned.
- Assist with coordination of laboratory specimens, testing, or other clinical orders as appropriate.
- Respond to patient messages or clinical requests as directed by the provider or clinical leadership.
- Assist other providers or clinical departments when coverage or additional support is needed.
- Participate in team meetings, training, and process-improvement initiatives.
- Maintain required certifications, training, and competencies.
- Follow all applicable OSHA, HIPAA, infection-control, safety, and Belcara Health policies and procedures.
- Perform other duties as assigned based on the needs of the practice.
Qualifications
- Medical Assistant certification or completion of an accredited Medical Assistant program preferred.
- Previous experience in plastic surgery, dermatology, aesthetics, or another specialty medical practice preferred.
- Experience working with an electronic medical record (EMR) system.
- Strong organizational and time-management skills.
- Excellent verbal communication and patient-service skills.
- Ability to manage multiple patients and priorities while remaining calm, professional, and attentive.
- Strong attention to detail and commitment to accurate clinical documentation.
- Ability to work collaboratively in a team-oriented clinical environment.
- Comfortable assisting with medical procedures and treatments within established training and scope of practice.
