Job Summary
Xavier University of Louisiana is accepting applications for the open position of Communications Coordinator. The Communications Coordinator will serve as the primary assistant to the Associate Vice President of University Communications and provide direct support to the Office of University Communications. The Communications Coordinator will work as part of a team and may be required to offer support to other areas as needed. This position requires a friendly disposition, excellent communication skills, the ability to work evenings and weekends, and working knowledge of computer applications. AA/EOE
Minimum Qualifications
A minimum of three years of experience in clerical and administrative roles. A bachelor’s degree can substitute for work experience. Thorough knowledge of computers and automated equipment; proficiency in Microsoft Word, PowerPoint, and Excel. Ability to type at least 50 wpm with accuracy. Knowledge of basic principles and practices of basic office management and organization. Excellent organizational, written, and verbal communication skills. Ability to follow oral and written instructions, prioritize work assignments, multi-task, and maintain confidentiality. Ability to work well as part of a team. Must have a friendly and cheerful disposition for internal and external communications. Valid driver’s license required.
Preferred Qualifications
Knowledge of constant contact and similar programs preferred.
Special Requirements Summary
Extended weekend and evening hours as required to support the success of Institutional Advancement, university events, and special projects. May require the use of personal transportation to carry out the duties above.

Essential Duties and Responsibilities
- Assist the Associate Vice President of University Communication on all projects/programs/events
- Serve as the primary assistant for the AVP, including but not limited to coordinating scheduling, documenting messages, preparing newsletters, and drafting correspondence
- Provide administrative support to the Office of University Communications.
- Provide a bridge for smooth communication between the AVP, University Communications, and all stakeholders
- Organize and maintain office forms and documents
- Screen and direct phone calls, emails, and social media messages
- Coordinate all University Communications procurement, including travel requests and expense reports
- Serve as the contact person and co-coordinator on assigned events
- Assist with event planning, including but not limited to securing a location (set-up and clean-up), coordinating staff assignments, assisting vendors, and scheduling volunteers
- Manage work study student assignments and payroll processing
- Maintain budget balances and expenditures
- Compile, draft, or coordinate newsletters.
- Maintain social media channels
