How will this role impact First Command?
Under the direct supervision of the Associate Manager of Mailroom and Corporate Imaging and the Corporate Imaging Team Leader, the Document Processing and Imaging Specialist is responsible for ensuring all checks and paperwork received are properly prepared, processed and scanned into the document repository as required by First Command Financial Services and First Command Bank. Maintains quality control during front end imaging processes. Performs research and resolution in locating missing or mis-directed documents.
What will the employee do in this role?
- Open all mail addressed to Brokerage Operations and First Command bank and other mail when required by specific guidelines applicable to the type of mail. Prioritize and sort opened mail by transaction type, to ensure proper and timely processing and delivery.
- Inspect transaction documents/checks for accuracy and compliance with legal or regulatory requirements, and for any other exceptions. Resolve issues with problematic documents and checks before forwarding them to Brokerage Operations, First Command Bank or other departments.
- Log transaction documents/checks into the document repository, scan the documents and checks, file or deliver to appropriate departments in First Command Financial Services and First Command Bank.
- Address and provide resolution to inquiries related to misplaced or misdirected checks and documents.
- Review all paperwork for accuracy and completeness and validate and index where applicable prior to storage.
- Responsible for the set up and operation of high-speed scanning equipment. Sort and prepare documents and checks by transaction type. Scan documents and checks into the correct storage file for processing in applicable First Command Financial Services and First Command Bank departments.
- Ensures all checks and documents are scanned in a timely manner, meeting short suspense requirements while maintaining accuracy and quality.
- Responsible for inspecting scanned barcodes, ensuring they are read properly during the scanning process.
- Research and retrieve locally stored documents in response to requests to recover documents from back storage.
- File documents according to transaction and date.
- Responsible for maintaining offsite secure document storage data log.
- Maintain and update electronic scanning log.
What skills & qualifications do you need?
Education
- High School diploma or equivalent required
Work Experience
- One year of experience in banking and/or transfer agency
- One year of experience in document scanning
Required Knowledge, Skills and Abilities
- Knowledge of most documentation paperwork associated with First Command Bank and/or First Command Transfer Agency preferred.
- Knowledge of investment and banking regulations preferred.
- Must be detail oriented
- Must possess strong communication skills
- Must be proficient in Microsoft Office applications
- Must work well under short time constraints
- Must be able to perform effectively during time sensitive processes.
- Must possess the ability to learn to set up and operate document scanning equipment proficiently.
