Administrative Assistant (Contract)

Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Job Responsibilities:

• Manage complex executive and shared calendars, including rhythm-of-business, gate review, and operations calendars across multiple leaders simultaneously
• Coordinate and maintain distribution lists and security groups (aliases) to ensure accurate and up-to-date organizational communication channels
• Track and monitor training completion and other compliance-related activities across the studio
• Support light new-hire and onboarding activities to help welcome team members into the studio
• Coordinate the shipping and fulfillment of studio swag and employee giveaways
• Contribute to employee morale initiatives including food trucks, team celebrations, cupcake events, and other engagement activities
• Manage procurement of goods and services including office supplies, computer equipment, and vendor relationships
• Support department financial operations including budget tracking and expense processing
• Coordinate meetings, events, and travel arrangements for management as needed
• Serve as a key point of contact for the department and provide general office support
• Complete special projects as assigned, maintaining strong attention to detail and timely delivery

Requirements

• 2–7 years of administrative or executive support experience, with relevant hands-on experience weighted more heavily than tenure alone
• 2–7 years of demonstrated Outlook calendar management experience, including complex multi-calendar coordination
• 2–7 years of detailed project tracking experience using Excel or similar tools
• Prior experience supporting multiple executives or managing group and shared calendars simultaneously strongly preferred
• Advanced proficiency in Microsoft Outlook with demonstrated experience managing complex, multi-person calendaring scenarios
• Strong project tracking and organizational skills using Microsoft Excel and other tracking tools
• Ability to manage multiple executive and shared calendars simultaneously with accuracy and efficiency
• Executive presence and a high degree of professionalism in all interactions
• Exceptional interpersonal skills with a demonstrated ability to collaborate across teams and levels of an organization
• Strong attention to detail and ability to manage competing priorities and deadlines
• Familiarity with Microsoft 365 tools and systems, including Teams and SharePoint
• Proactive, self-motivated work style with a positive, team-first attitude
• Comfort working in a highly social, people-focused, and onsite environment

Additional Details:

• Location: Redmond, WA (Onsite)
• Duration: 8 months
• Pay Range*: $30 - $34 per hour
• Weekly Schedule: 40 hours
• Job Status: Non-Exempt
