Position Description
The Project Coordinator is responsible for supporting Project – and Program Managers in the execution of projects. This includes meeting coordination, project documentation, schedule support, and vendor management, with a strong emphasis on logistics and customer requirements. The role involves managing global customer contact lists, distributing essential notifications, and providing administrative support for parcel projects. The ideal candidate is initiative-taking, organized, and adaptable, with strong communication and customer service skills. The Project Coordinator will work closely with Project Management, Installation Management, and other stakeholders to ensure project goals, scope, budget, and timelines are met. This role is an excellent foundation for a future in Project Management.
Duties/Responsibilities
- Oversee management of global customer contact lists for parcel projects.
- Distribute essential notifications to Project Managers regarding schedules, milestones, forecasts, invoices, and critical deadlines.
- Coordinate and document minutes for all internal and external program-related meetings.
- Organize and maintain project folders (CFS) and department permit management for all parcel projects.
- Support creation and maintenance of project schedules, including sorter pre-commissioning schedules across all sites.
- Act as liaison for “Owner Purchased” items, internal/external manufacturing, and buyout tracking, ensuring timely and accurate delivery coordination.
- Develop, maintain, and track statistical reports and diagrams (change order logs, RFI logs, invoicing logs, belt logs, schedule tracking logs, installation tracking logs).
- Serve as business process owner for project management, developing and maintaining procedures, flow/RASIC charts, and organizing training.
- Collaborate with IT to manage departmental apps and systems issues/feedback.
- Support installation efforts and track parts as needed.
- Coordinate travel and logistics for project teams.
- Provide administrative support and general assistance to all Program and Project Managers.
- Manage customer survey efforts and follow up as it relates to project execution.
- Contribute to project debriefs and turnover to customer experience.
- Ensure project compliance audits and maintain project documentation standards.
- Perform administrative duties such as ordering food, planning events, etc.
Required Skills/ Abilities
- Knowledge of project management methodologies.
- Familiarity with engineering blueprints and schematics.
- Proficiency with Microsoft Office, including MS Project.
- Strong organizational, time-management, and prioritization skills.
- Excellent verbal and written communication, interpersonal, and customer service skills.
- Flexibility to travel by air within the US and Canada.
- Valid US driver’s license.
- Ability to learn and apply “the Trew way,” creating smart solutions for all customers.
Education & Experience
- Business degree or equivalent experience preferred.
- Bachelor’s degree in engineering, construction management, or related field, or equivalent combination of education and experience.
- Project planning experience.
Work Environment
This is primarily a desk-based role, requiring extended periods of sitting and computer use. Mobility within the office, manufacturing facility, and customer sites may be required for meetings and interactions.

- Must be able to lift up to fifteen (15) pounds at times.
