Hiring Department

The University of Texas Permian Basin's Department of Admissions welcomes applications for the position of Transcript Evaluator.

Salary Range

$38,000.00 depending on qualifications

Essential Functions

The Transcript Evaluator supports accurate and timely admissions processing by reviewing incoming academic records, applying approved transfer-equivalency and core-curriculum rules, verifying documents and test scores, maintaining high-volume confidential records, and providing clear information to students and campus partners. The position performs routine transcript and degree-audit support within established University procedures, corrects data-quality issues in PeopleSoft or designated systems, and refers nonstandard coursework, policy exceptions, and final academic determinations to authorized personnel.

Transcript and Document Evaluation

1. Review incoming transcripts and apply approved course-equivalency tables, core-curriculum rules, and documented admissions procedures to routine coursework.

2. Verify incoming documents for authenticity and consistency with uploaded records; match, merge, and correct test-score and transcript records as authorized.

3. Identify nonstandard, incomplete, conflicting, international, military, or policy-sensitive coursework and route it to the appropriate authorized reviewer.

4. Prepare, enter, proof, and correct course and transfer-credit data and document the basis for changes in the designated system.

Academic Records and Degree-Audit Support

1. Maintain accurate academic records and conduct routine degree-audit support using published degree and graduation requirements.

2. Explain documented transcript results, outstanding materials, and published degree or graduation requirements to students, families, faculty, and staff and make appropriate referrals.

3. Preserve the boundary between records information and academic advising by referring course-selection, substitution, exception, and graduation-certification decisions to authorized offices.

Systems, Quality Control, and Service

1. Process correspondence, reports, forms, and records in PeopleSoft and other designated systems and maintain complete supporting documentation.

2. Manage assigned queues and workload to meet established turnaround, accuracy, and service expectations and promptly correct identified errors.

3. Protect student confidentiality and handle academic records in accordance with FERPA, University policy, and records-management requirements.

4. Identify recurring record, process, and data-quality issues and provide documented observations to the supervisor for correction or process improvement.

Required Qualifications

1. High school diploma or GED.

2. Two (2) years of experience in administrative support, records processing, data entry, customer service, or a related field.

3. Experience processing detailed information in a high-volume environment and reviewing work for accuracy.

4. Experience using office software, a records system, student information system, or comparable database.

Preferred Qualifications

1. Associate or bachelor’s degree from an accredited college or university.

2. Experience in higher education admissions, registrar, academic records, degree audit, or transcript evaluation.

3. Experience using PeopleSoft or a comparable student information system.

4. Bilingual proficiency in English and Spanish.

5. Strong attention to detail, organization, written communication, and student-service skills.

Conditions of Employment

Schedule

Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.

Standard Working Conditions

1. Able to lift various materials up to 25 pounds on an occasional basis.

2. Able to bend, crouch, and reach continuously.

3. Physically able to remain seated, frequently to continuously.

4. Able to remain standing up to 15% of the time.

5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
