The Role
The Service Operations Coordinator supports the day‑to‑day operations of XNRGY’s Service organization. This role partners closely with Service leadership and plays a key part in keeping service operations organized, responsive, and aligned in a fast‑paced, high‑growth environment. You’ll provide administrative, coordination, and operational support across service activities—including documentation, scheduling, financial tracking, and internal follow‑ups—helping ensure a strong internal workflow and positive customer experience.
Key Responsibilities
- Support Service leadership with meeting prep, calendars, follow‑ups, and action tracking
- Manage service documentation with accuracy, version control, and timely distribution
- Coordinate across Engineering, Manufacturing, Purchasing, Logistics, Finance, and Transformation teams
- Track service‑related invoices, purchase orders, and basic expense logs
- Assist with Field Service logistics (scheduling, travel coordination, documentation readiness)
- Log and route non‑technical customer requests and track status through closure
- Identify delays or risks and escalate as needed to Service leadership
What Success Looks Like (First 12 Months)
- Consistent administrative and operational support for the Service Operating Model
- Improved internal coordination and faster response to service requests
- Reliable routines for meetings, PO tracking, and invoice review
- Strong field readiness through clear logistics and documentation support
What We’re Looking For
- 5+ years experience in service coordination, operations support, or administrative roles within a technical or manufacturing environment
- Experience with ERP/CRM systems (work orders, POs, parts, service data)
- Strong organizational skills and follow‑through
- Clear, professional communicator across cross‑functional teams
- French or Spanish is a plus
