We are seeking a dynamic and compassionate Receptionist and Patient Experience Coordinator to join our healthcare team at Goodhaven Health, a concierge primary care and aesthetics clinic in Wellesley, MA. Responsibilities

- Patient check-in and check-out, verifying demographics/insurance info, collecting payments or membership dues
- Managing the waiting area
- Help with inventory management and supplies ordering
- Schedule appointments efficiently using medical office management software
- Assist with patient intake processes, including data entry, updating medical records, and ensuring all documentation aligns with healthcare regulations
- Assisting with care coordination, including coordinating with specialist offices on scheduling when patients need help getting appointments
- Handle multi-line phone systems with professionalism and maintain excellent phone etiquette while addressing patient inquiries or redirecting calls appropriately
- Maintain organized filing of medical records
- Assist with basic marketing and social media management
Skills
- Excellent customer service skills with the ability to communicate effectively
- Proven experience in medical office administration or clinic support roles with familiarity in electronic health records (EHR) systems such as Epic, Athenahealth
- Strong knowledge of medical terminology, insurance verification processes, and health information management practices
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel), typing (10 key typing), and familiarity with office equipment like multi-line phones and fax machines
- Ability to review medical documentation accurately while maintaining strict adherence to HIPAA regulations and clinical confidentiality policies
- Strong organizational skills with attention to detail for managing medical records, scheduling appointments, handling administrative tasks efficiently, and managing supplies/inventory for the clinic
