- Ensure accuracy, consistency, and brand quality across all materials, including formatting, tone, and messaging
- Maintain proposal templates, boilerplate content, resumes, and project sheets, keeping all content current and easy to repurpose
- Coordinate final production, printing, and delivery of proposals to meet client deadlines
Capabilities & BD Materials
- Own capabilities decks and case study updates, ensuring project data, photography, and outcomes are current
- Maintain a library of BD assets, project examples, and past submissions organized for quick reuse across pursuits
- Coordinate project photography and documentation throughout the project lifecycle for use in future proposals and marketing
- Support recruiting materials and company overview content used in hiring and community outreach
- Keep resumes, project sheets, and org charts current as staff and project assignments change
Events, Conventions & Sponsorships
- Coordinate logistics, planning, and execution for conventions, trade shows, and industry events
- Manage sponsorship deliverables, deadlines, and vendor communication to ensure commitments are fulfilled on time
- Support signage, collateral, and booth needs, including design requests and on-site setup coordination
- Track event budgets and reconcile invoices with vendors and internal finance contacts
- Coordinate registration, travel, and staffing logistics for employees attending conferences and industry events
- Maintain a marketing calendar of key industry events, conferences, and sponsorship opportunities
Awards & Recognition
- Track award calendars and deadlines across industry associations and trade organizations
- Gather materials, data, and project details, and coordinate submissions with operations and leadership
- Draft or support award narratives in partnership with the Social/Content Manager
- Maintain a repository of past award submissions and supporting project photography for reuse
- Build and maintain relationships with industry organizations and award program contacts
Internal Marketing
- Support internal communications, culture initiatives, and employee-facing materials
- Assist with content for town halls, leadership meetings, and company-wide announcements
- Support employee recognition programs and internal newsletter content
- Help maintain consistency of internal branding and messaging across communications
Project & Vendor Management
- Manage vendor relationships, including printers, event vendors, signage companies, and photographers
- Negotiate pricing, scope, and timelines with outside vendors to stay within budget
- Track timelines, deliverables, and project status across marketing, flagging risks to deadlines proactively
- Maintain a master calendar of marketing deadlines and deliverables across all business units
Cross-Company Alignment
- Ensure BD materials are consistent across all business units in look, tone, and messaging
- Serve as a liaison between BD, marketing, and operations teams to align on priorities and messaging
- Support leadership with special projects and presentations, including board and client-facing materials
- Support onboarding of new business unit leaders on marketing processes, templates, and resources
Experience
- 2-5 years in marketing, communications, or a related field
- Experience managing deadlines and coordinating multiple stakeholders across departments
- Construction, engineering, or architecture sector experience preferred
- Bachelor's degree in Marketing, Communications, Business, or a related field preferred
- Experience working in a fast-paced, deadline-driven environment with competing priorities
Skills
- Strong writing, editing, and proofreading skills
- Proficiency in PowerPoint, Word, and Excel
- Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator)
- Detail oriented, with a high level of accuracy under tight deadlines
- Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously
