Summary:
The Production Administrative Associate provides administrative, operational, and project coordination support to the Production team. This role is responsible for maintaining production records, coordinating meetings, processing department purchases, managing inventory and documentation, and supporting daily production activities to ensure efficient operations. The position serves as a key liaison between production, maintenance, and other cross-functional teams while maintaining compliance with company procedures and safety standards.
Responsibilities:
- Provide administrative and project coordination support for the Production department.
- Monitor and maintain inventory of production supplies, equipment, parts, and consumables.
- Prepare purchase requests, process electronic approvals, and reconcile purchase receipts.
- Track, organize, maintain, and distribute production work logs and department documentation.
- Coordinate department meetings, prepare meeting materials, and maintain meeting records as needed.
- Maintain accurate personnel records, including department rosters, locker assignments, and name badge requests.
- Schedule and coordinate annual equipment calibrations with external vendors.
- Perform monthly equipment calibration verification and preventive maintenance activities as assigned.
- Participate in monthly inventory counts and inventory reconciliation activities.
- Support daily production operations and assist with floor activities as needed.
- Maintain accurate records using ERP, SAP, and other company systems.
- Follow all company safety policies, procedures, and standard operating procedures (SOPs).
- Maintain cleanliness at work-site in accordance with 5S3R Standards:
- Sort, Set in order, Shine, Standardize, Sustain
- Right Location, Right Quantity, Right Container
- Perform other duties as assigned
Required Qualifications:
- High School Diploma or GED required.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong organizational, communication, and administrative skills.
- Ability to manage multiple priorities in a fast-paced manufacturing environment.
Preferred Qualifications:
- One (1) to three (3) years of administrative experience in a manufacturing or production environment.
- Experience using ERP, SAP, or similar enterprise systems.
- IATF knowledge or certification preferred.
- Experience supporting inventory management and purchasing activities.

Work Environment & Physical Requirements:
Work is performed in a combination of office and manufacturing environments with frequent interaction on the production floor.
- Frequently sit, stand, walk, bend, and reach throughout the workday.
- Operate a computer and standard office equipment for extended periods.
- Lift, push, and pull up to 50 pounds as needed.
- Operate material handling equipment, including forklifts, if properly trained and authorized.
- Work on elevated platforms and around manufacturing equipment when required.
- Wear required personal protective equipment (PPE) while in production areas.
- Exposure to varying temperatures, noise, dust, and manufacturing conditions while supporting production operations.
