Position Summary
Performs a variety of legal administrative duties for attorneys under general supervision. Prepares correspondence & other communication and complex legal documents. Organizes and maintains document and electronic files. Serves as liaison in person and by email and telephone between attorneys and clients, outside counsel, etc. Assumes increasing levels of responsibility to lessen workload of attorneys; relieves attorneys of administrative duties. Handles details and complex assignments within agreed upon limits. Handles highly confidential information. Knowledge of legal terminology required.
Essential Responsibilities
Proofreads and edits complex legal documents including contracts, briefs, forms, and court and regulatory agency filings that must be technically accurate and complete. Completes filings with various state and federal regulatory agencies and courts. Prepares correspondence and other communications. Conducts special projects requiring research and report development including collection and analysis of data.
Organizes, updates and maintains confidential files within legal’s matter management and document management systems, ensuring information is accurate and readily available. Calendars and tracks time sensitive court and other dates. Assimilates data and other information from various sources.
Serves as liaison in person and by email and telephone between attorney and clients, outside counsel, etc. Manages basic fact-finding projects and handles administrative problems and questions with limited supervision. Takes action during attorney absences and exercises judgment to see that matters requiring attention are directed to appropriate department personnel or handled effectively.
Schedules appointments and coordinates logistics for meetings and activities; maintains attorney calendars; prepares expense reports; makes travel arrangements and prepares detailed itineraries as needed. Performs general administrative duties including copying, faxing and distributing documents. Receives, sorts, redirects and prioritizes incoming physical and digital mail.
Assumes timekeeping responsibilities on behalf of attorneys. At attorney request, assumes responsibility for reporting Continuing Legal Education attendance.
Actively seeks additional responsibility or tasks to lessen the workload of attorneys or other legal personnel. Manages assigned activities on a proactive basis. Anticipates schedule, travel and other conflicts and resolves (or develops proposed solutions) on a timely basis. Develops solutions to issues/problems and presents such to attorneys and /or other appropriate legal personnel. Performs other related duties as directed by attorneys and/or supervisor.
Minimum Requirements
High school diploma/GED.
Minimum 2 years’ experience as a legal assistant in a corporate law department, law firm, or government practice or equivalent education and experience.
Legal secretarial certificate a plus.
Knowledge of legal terminology.
Requires ability to manage multiple tasks with initiative, accuracy, and a high sense of urgency; responsiveness and follow-through is critical.
Must be well organized and able to prioritize work.
Excellent grammatical, punctuation and proofreading skills; must be detail oriented.
Advanced word processing skills including proficient knowledge of Microsoft software packages.
Prior experience using legal specific technology such as matter management and/or document management systems a plus.
