Job Summary:
The RMA & Reverse Logistics Coordinator owns the end-to-end lifecycle of all inbound returns at CTS Mobility; from initial receipt and system reconciliation through triage, routing, and resolution. This role serves as the onshore operational hub between the warehouse floor and our offshore Customer Support and Purchasing teams, ensuring that exceptions are caught early, internal teams have the information they need, and return processing moves without unnecessary delays or escalations to warehouse leadership.
The RMA & Reverse Logistics Coordinator reports directly to the Warehouse Manager and works onsite at CTS Mobility headquarters in Austin, Texas. This role works closely with the Warehouse team, offshore Customer Support, offshore Purchasing, and Business Enablement to maintain RMA accuracy, reduce process friction, and continuously improve reverse logistics workflows.
Key Responsibilities:
RMA Triage & Queue Management
· Review and triage all incoming RMAs daily; identify and flag discrepancies including label misuse, missing documentation, incorrect quantities, and mismatched RMA numbers before items reach the warehouse floor for processing
· Investigate and reconcile exception cases; consolidated shipments, unmatched RMA numbers, mislabeled returns in NetSuite and coordinate resolution with the appropriate internal team
· Own the RMA queue in NetSuite; maintain clean, accurate records, close completed returns promptly, and surface aging or at-risk items to the Operations Manager
· Serve as the first line of defense for RMA process non-compliance, identifying patterns and escalating systemic issues for upstream resolution.
Internal Coordination & Communication
· Act as the primary onshore point of contact for RMA-related questions and escalations from offshore Customer Support and Purchasing
· Proactively provide Customer Support with accurate, timely return status updates so they can communicate effectively without needing to chase the warehouse for information
· Coordinate with offshore Purchasing on vendor return (VRMA) timelines, documentation requirements, and return windows; flag at-risk vendor returns before deadlines are missed
· Partner with the Warehouse Manager and Warehouse Supervisor to ensure physical return processing is informed by accurate system data and exception context.
· Work closely with the Supply Chain Specialist to support compliance tracking, vendor return compliance, and documentation accuracy; flag vendor behavior patterns (incorrect shipments, non-compliant returns, missing paperwork) that inform vendor performance scoring and sourcing decisions.
Process Improvement & Documentation
· Maintain and continuously improve RMA SOPs; document recurring failure patterns and propose process changes to reduce exception volume over time
· Identify gaps in return label usage, RMA communication workflows, and cross-team handoffs; recommend and implement scalable fixes in coordination with Operations and Business Enablement
· Support training and process alignment efforts with offshore teams when RMA procedures are updated or new workflows are introduced.
Skills and Qualifications
· Strong attention to detail with the ability to manage a high-volume queue independently and accurately
· Comfortable investigating discrepancies, reconciling system data against physical reality, and driving exceptions to resolution
· Clear, professional written communication skills; able to provide concise, accurate status updates to internal teams
· Ability to work cross-functionally with onshore and offshore teams across different time zones and communication styles
· Familiarity with ERP systems; NetSuite experience strongly preferred
· Understanding of basic logistics and returns workflows (RMA processing, return labels, packing documentation)
· Process-oriented mindset with a demonstrated ability to identify problems and propose improvements
· Ability to prioritize and manage competing tasks in a fast-paced warehouse and operations environment
· Ability to collaborate with supply chain and procurement functions on vendor compliance tracking, documentation standards, and process alignment
· Self-directed and able to operate with minimal supervision once ramped.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
· 1–3 years of experience in logistics, warehouse operations, supply chain, or a related role
· ERP experience required; NetSuite strongly preferred
· Experience working with cross-functional or offshore teams a plus
· Strong organizational skills and high accuracy under volume
· Proficiency with Microsoft Office
