What’s unique about this role?
This role is part-time, non-exempt, averaging 30 hours per week and is required to be on-site at Lighthouse's Bellevue office. The hours are roughly 10:00 AM PT - 3:30 PM PT Monday - Friday. This role will report to the Senior Executive Assistant; they are responsible for overseeing all administrative logistics related to the corporate office. This role manages front desk operations, processes incoming and outgoing deliveries, supports facilities maintenance request, handles expense approvals through Concur, and manages access control through keycard programming. It also provides general administrative support to ensure smooth office operations to other departments needing assistance and other related duties. This role will actively collaborate with GRE, PAC, and other office managers from each of the Lighthouse offices.
What will this person do?
- Keeps employees up to date on Lighthouse plans, policies, and procedures via intranet and in office postings
- Maintains, communicates, and ensures compliance of Office policies, in partnership with Global Real Estate, Compliance and Legal departments.
- Supervises the maintenance and alteration of office areas, as well as layout, arrangement and housekeeping of office facilities. Manages shipping and receiving for the office.
- Liaises with building management on all building issues. Negotiates the purchase of office food, supplies and equipment for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Supervises the maintenance of office equipment, including copier, fax machines, etc. Responsible for the facilities day-to-day operations including distributing building access keys, liaising with our local IT resources, ensuring daily connectivity and being the main point of contact to resolve any connectivity issues, acting as the office fire warden, etc.
- Supports expense management processes through Concur by monitoring employee expense report submissions, ensuring compliance with company travel and expense policies, and coordinating with Finance on discrepancies or approvals Program and deactivate keycards.
- Assist Executive Assistant with coordinating office events including company meetings, morale events, and trainings. Welcomes new employees to the organization by conducting local orientation including explanations of office policies and facilities.
- Facilitates new employees’ participation in company-wide orientation sessions.
- Maintains employee anniversary and birthday database
- Performs office records management and reporting.
- Serves as point of contact for contract employee process.
- Performs other duties as assigned.

- Advanced PC skills with high level of proficiency in MS Outlook and Office.
- Excellent organizational skills with demonstrated ability to prioritize and manage multiple projects.
- Ability to initiate work and function autonomously.
- Ability to travel to on a quarterly basis.
- Previous experience in Office Management
- Knowledgeable regarding most business practices and processes, strong business acumen

Work Environment and Physical Demands
- Duties are performed in a typical office environment while at a desk or computer table.
- Duties require the ability to use a computer, communicate over the telephone, and read printed material, in a quiet and professional setting.
- Duties may require being on call periodically and working outside normal working hours (evenings and weekends).
