Qualifications:
- High School Diploma/GED required. Associate’s Degree preferred.
- Minimum 3 years property management experience required.
- Proficient in Microsoft Office including Word and Excel (Candidate will be tested for Microsoft Excel).
- Demonstrated ability to work independently and to interact with team in a fast paced environment.
- Detailed oriented skills.
- Strong organization and prioritization skills.
- Excellent oral and written communication skills.
- Valid Pennsylvania Driver’s license required.
Principal Activities and Duties:
Administrative
- Provide administrative support to the VP, Corporate Real Estate Services, Facilities Officers, and Construction Manager.
- Administration of the vendor certificates of insurance database YARDI including requesting updates from service providers.
- Work with Facilities Officers to handle property management operations related activities including issuing purchase orders, managing bid requests, and processing of all department invoices.
- Coordinate special events in support of corporate initiatives.
- Provide facility specific support to the project management team as required.
- Act as main departmental interface with third party CRES operating system provider YARDI.
- Act as interface with visitors and outside vendors.
- Assist facilities officers with uploading all pertinent vendor related information such as: Vendor Contracts, Vendor Contact Info. Vendor Certificates of insurance (COI), Approved Vendor Equipment proposal Etc. into YARDI vendor management tracking.
- Coordinate outside vendor facility access in Bank’s vendor access systems Hello Visitor.
- Provide direction to vendors and facilities staff as required to ensure excellent execution of facilities related work.
- Manage the interior sign program for the branches including nameplates, regulatory notices, directional signs and etc.
- Acts as department liaison for computer database network requirements.
- Daily administration of the internal work order system YARDI.
- Coordinate and schedule outside service providers including electronic service call alerts to branches/departments and confirming that work has been completed and update corresponding YARDI work orders.
- Assist Facilities Officers with uploading of all equipment information into YARDI such as: Signed proposals, Equipment identifying inf (I.E Model serial number etc.), Warranty Information.
- Coordination of the company key and lock systems including regular audits of keys outstanding to service providers, Security Department notifications for lost keys and emergency re-keying of facilities when keys are lost or stolen.
Budget
- Process maintenance and capital improvement/construction invoices to include coding, data entering, scanning/electronic filing, and obtaining appropriate management approvals.
- Assist with the preparation of departmental operating and occupancy budgets.
- Create consolidated budget reports for management review and approval.
- Work with the VP of CRES and Facilities Officers to compare/analyze actual to budgeted results on an ongoing basis and report on significant variances.
- Prepare all capital/construction budget reconciliations and research budget variances.
- Ensure prompt and accurate invoice processing for all departmental invoices within the Banks invoice processing platform.
- Work with VP of CRES, Facilities Officers, and vendors to promptly research all invoice/billing errors and ensure accurate resolutions to all errors.
