Recruiting Coordinator & Executive Assistant
We’re seeking an exceptionally capable, people-oriented individual to help us find, attract, and welcome great people across both Stamm Media and Stamm Tech. Recruiting will be the primary focus of this role, with additional responsibility for providing administrative support to our CEO and Executive Leadership Team (ELT).
This position offers a rare opportunity for an early-career professional to gain exposure to recruiting, company leadership and business operations across two growing technology companies.
Experience is not required. We will teach the systems, processes, and details. What matters most is finding someone with exceptional common sense, emotional intelligence, warmth, initiative, and follow-through. Stamm Media is a nationwide experiential and event technology company. We provide audiovisual production, interactive technology, digital content, and innovative technology experiences for trade shows, corporate events, and brand activations across the country.
Stamm Technologies is a Milwaukee-based managed IT services company. We help businesses and nonprofit organizations manage, secure, and improve their technology through responsive support, strategic guidance, and long-term partnership.
Although the two companies serve different markets, they share common ownership, leadership, values, and resources. This position will be part of the Shared Services team, supporting the people and priorities of both organizations.
What You’ll Do
Coordinate Recruiting and Hiring
- Coordinate recruiting activities across both Stamm Media and Stamm Tech.
- Work with hiring managers to understand open positions and the qualities needed for each role.
- Draft, post, and maintain job openings across recruiting platforms.
- Proactively identify and reach out to potential candidates.
- Review applications and determine which candidates should move forward.
- Conduct initial phone or video screening conversations.
- Schedule group and individual interviews and coordinate communication among candidates and hiring managers.
- Maintain recruiting records and track candidates throughout the hiring process.
- Keep candidates informed and engaged through timely, thoughtful follow-up.
- Assist with reference checks, background checks, offer letters, and employment documents.
- Coordinate new-hire paperwork, first-day schedules, and onboarding activities.
- Build relationships with colleges, professional organizations, recruiting partners, and other sources of talent.
- Help develop and maintain a pipeline of potential candidates for future hiring needs.
- Look for creative ways to improve how we find, evaluate, and attract great people.
- Ensure every candidate receives a responsive, organized, and welcoming experience, whether or not they are ultimately hired.
Support Employee Onboarding and Engagement
- Help new employees feel welcomed, prepared, and connected to the company.
- Coordinate with managers to ensure equipment, accounts, workspaces, and training plans are ready.
- Assist with employee recognition, company events, and culture-building initiatives.
- Gather feedback from new employees and help improve the recruiting and onboarding experience.
- Support internal communication and other people-focused projects.
Support the CEO and Leadership Teams
- Assist the CEO with scheduling, meetings, and follow-up items.
- Help organize information, documents, priorities, and action items.
- Prepare draft correspondence, meeting materials, reports, and presentations.
- Assist the CEO and ELT with research and special projects.
- Track commitments and deadlines to help ensure consistent follow-through.
- Handle confidential business, employee, and personal information with discretion.
- Anticipate needs and address routine matters independently when appropriate.
Provide Shared Services and Administrative Support
- Assist with administrative needs and special projects across both companies.
- Welcome visitors and contribute to a friendly, professional office environment.
- Assist with document preparation, reporting, recordkeeping, and data entry.
- Anticipate what needs attention and take initiative to move it forward.

Work Location and Travel
This is an in-office position based at our Milwaukee, Wisconsin headquarters. The role requires regular in-person interaction with the CEO, ELT, employees, candidates, and visitors.
Occasional travel may be required, including visits to our Southern California and Las Vegas offices, recruiting activities, and event sites throughout the United States. Travel may occasionally include overnight or multi-day trips.
