About the role: WorldWise Tutoring is a 13-year-old premium tutoring company (Chicago, Dallas–Fort Worth, Houston, Austin, San Antonio, plus remote) hiring a sharp, discreet, detail-driven Operations Assistant to support the Founder/CEO. This is not a generic admin role — you'll own real processes that directly affect revenue and client trust, with growing autonomy as you prove out the fundamentals.
What you'll own:
- Tutor matching: First-pass ranking of tutors to students against our documented rubric, for founder approval
- CRM and lead discipline: Every lead and client fully tracked — source, stage, quote, outcome
- Reactivation and referrals: Reaching out to paused families at the right moments, running our referral-ask process
- Client lifecycle: Onboarding, offboarding, session-log and progress-report audits, payment logging
- Institutional research: Building outreach lists for our growing school/college partnerships program
What we're looking for:
- Someone unusually organized, careful, and comfortable exercising judgment within a defined process — more important than years of formal "operations" title experience
- Strong, natural writing — you'll draft outreach that represents the company directly to parents
- High discretion — you'll handle student records, learning-difference information, and family financial/contact details
- Comfortable with (or quick to learn) CRM-style structured tracking
This is a 1099 independent contractor role. You set your own hours and schedule within the general 10–20 hrs/week range, and are free to take on other clients or work.
