Nurturing Life Counseling is a growing, in-network mental health group practice located in downtown Hoboken, New Jersey. We provide accessible, evidence-based mental health services to children, adolescents, adults, couples, and families.

We are seeking a motivated, organized, and curious student interested in learning about the business, administrative, and operational aspects of running a mental health private practice.
This internship offers direct exposure to private practice management, patient coordination, mental health systems, insurance processes, and organizational development.
Position Responsibilities
1. Referral Development & Community Outreach
- Research and identify potential referral sources, including physicians, pediatricians, psychiatrists, schools, universities, and community organizations.
- Assist with developing relationships with local healthcare providers and referral partners.
- Create and maintain a referral database.
- Support outreach initiatives designed to increase access to mental health services.
- Track referral sources and identify opportunities to strengthen community partnerships.
2. Consultation Calls & Patient Coordination
- Conduct initial consultation calls with prospective clients using structured, practice-approved scripts.
- Gather information regarding presenting concerns, treatment preferences, availability, and insurance.
- Explain the practice's intake procedures and general services.
- Coordinate with practice leadership to facilitate appropriate therapist referrals.
- Assist with responding to new client inquiries and scheduling consultations.
- Maintain organized records of inquiries and referral follow-ups.
- Escalate clinical questions and safety concerns to designated clinical staff.
3. Insurance Verification & Administrative Operations
- Assist with verifying insurance eligibility, benefits, deductibles, copays, and coverage information.
- Learn about insurance reimbursement, billing workflows, and common administrative challenges in mental health care.
- Communicate with insurance representatives regarding routine eligibility and benefits inquiries.
- Help maintain accurate administrative records and insurance-related tracking systems.
- Support administrative initiatives intended to reduce barriers to care.
4. Documentation Audits & Quality Assurance
- Assist with administrative chart audits under supervision.
- Monitor documentation completion and identify missing or overdue administrative requirements.
- Review whether required intake forms, treatment plans, and progress notes are present and completed on time.
- Develop tracking tools and reports to support documentation compliance.
- Identify workflow inefficiencies and recommend improvements.
- Support quality improvement projects related to documentation and practice operations.
5. Mental Health Systems & Process Improvement
- Examine existing administrative workflows and identify opportunities for improvement.
- Assist in developing standard operating procedures, checklists, and administrative resources.
- Research best practices in mental health administration and patient access.
- Support projects related to client retention, scheduling, intake procedures, and organizational efficiency.
- Help evaluate how technology and administrative systems can improve practice operations.
6. Private Practice Management & Professional Development
- Learn how a group mental health practice operates, including staffing, scheduling, insurance participation, referral management, and organizational leadership.
- Gain exposure to the financial and operational considerations involved in running a private practice.
- Participate in mentorship and professional development discussions with practice leadership.
- Gain insight into the challenges and responsibilities of providing accessible mental health services.
- Complete an administrative improvement project and present recommendations to practice leadership.
Qualifications
- Currently enrolled in an undergraduate or graduate program in psychology, social work, healthcare administration, public health, business, or a related discipline.
- Strong communication, organizational, and interpersonal skills.
- Interest in mental health services, healthcare systems, or private practice management.
- Ability to maintain confidentiality and demonstrate professionalism when working with sensitive information.
- Comfortable communicating by phone and email.
- Detail-oriented, dependable, and capable of managing multiple projects.
