As a Procurement Systems Analyst, you will provide functional and technical support for the State of Tennessee's enterprise procurement systems within the Department of General Services' Central Procurement Office (CPO). In this role, you will support State procurement professionals and suppliers by troubleshooting system issues, maintaining procurement system data, developing training resources, managing procurement technology platforms, and identifying opportunities to improve business processes through automation and emerging technologies.
This position is part of the CPO Systems Team, which serves as the functional support team for the State's enterprise procurement solutions, manages item catalogs, maintains the division's internal and external websites, and supports continuous improvement initiatives across procurement operations.
This position reports to the DGS Procurement Systems Team Lead. The monthly starting salary is $3,631. Key Responsibilities:
Procurement Systems Support
- Provide functional support for Edison, the State of Tennessee's customized Oracle PeopleSoft enterprise resource planning (ERP) system, and other procurement applications.
- Troubleshoot system issues reported by State employees, procurement professionals, and suppliers.
- Function as the primary support contact for TN SmartShop, the State's online marketplace for statewide procurement contracts, addressing user issues in collaboration with Edison and supplier technical support.
- Participate in system upgrade testing and implementation activities.
- Respond to customer inquiries and technical support requests through email, phone, and Zendesk, the Department's centralized ticketing system for managing customer support requests and tracking issue resolution.
- Reporting and Data Management
- Develop and maintain Edison queries to produce procurement reports.
- Manage and maintain the State's procurement item catalog, including creating and updating catalog records.
- Support data integrity by monitoring procurement system information for completeness and accuracy.
- Training and User Support
- Develop and maintain training materials, job aids, user guides, and other support documentation.
- Assist in delivering training for Edison procurement modules and related procurement systems.
- Explain technical concepts and system processes to users with varying levels of technical experience.
- Website Administration and Process Improvement' Maintain and update the CPO's internal and external websites.
- Review website content for accuracy, accessibility, and compliance with ADA Title II requirements.
- Identify recurring system issues, user needs, and process improvement opportunities.
- Recommend enhancements to procurement systems, support processes, reporting tools, and training resources.
- Support automation initiatives and other technology projects that improve procurement operations and customer service.
- Communicate system changes, issue resolutions, and process updates to internal and external stakeholders.
- General' Interpret and apply State procurement policies, procedures, and solicitation methods while supporting procurement system users.
- Collaborate effectively with procurement staff, State agencies, suppliers, and technical support teams.
- Perform other duties as assigned.
Minimum Qualifications:
- Completion of a bachelor's degree from an accredited college or university;
or
- Four years of relevant professional experience in procurement, information technology, business systems support, data analysis, or a closely related field.
- Strong customer service experience.
- Superior organizational and problem-solving skills.
- Excellent verbal, written, and presentation communication skills.
- Ability to explain technical information to users with varying levels of experience.
- Ability to work independently while contributing effectively within a collaborative team environment.
Preferred Qualifications:
- Experience supporting enterprise procurement or ERP systems, such as PeopleSoft/Edison.
- Experience creating system queries and reports.
- Experience using a customer support ticketing platform such as Zendesk.
- Experience developing training materials, job aids, user guides, or other instructional resources.
- Knowledge of State procurement policies, procedures, and solicitation methods.
