Position Summary
Come to Steamboat and join our outstanding Sales and Catering team. We are looking for a detail oriented professional for the role of Conference Services & Catering Coordinator. This position will assist the department with the full cycle of catering and conference services processes and interface with all appropriate departments. Providing key administrative support to the department and playing a vital role in the sales efforts. Come join our dynamic growing team and find your Steamboat Dream!

ESSENTIAL DUTIES
- Work closely with Catering & Conference Services Managers and Director of Hotel Sales and Catering
- Assume the Project lead role for various initiatives throughout social and group catering to grow sales and ancillary spend
- Monitor the conference services inbox and voicemail and assist managers with leads, proposals, and RFP’s
- Manage oversight of daily, weekly reports, and distributions for Delphi Management system
- Update and program menus and items in the Delphi Sales Management system as requested
- Provide onsite support for the banquet and F&B teams for conferences, weddings, social events etc.
- Oversee and carry out various day-to-day departmental administrative functions
- Coordinate, initiate, and prepare client billing ensuring they are being sent in a timely and accurate manner
- Maintain group folders, pre-con notebooks and preparations related documents for all group & social catering business and assist with social catering contract issuance
- Manage oversight of all vendor related communication, including filtering of pre-event related questions and all pertinent load-in/load out information for events
- Work with assigned groups to detail conference & event needs and provide clients with accurate, detailed BEOs, estimates and layouts
- Assist managers in the scheduling, preparation, and execution of site tours
- Distribute mail daily, make sure all managers get copies of pertinent emails of all intercompany happenings or pertinent information and update department bulletin boards with current information
- Assist Director & Managers on special projects that occur
- Compliance with all company policies and procedures as well as any regulatory requirements
- Other duties as assigned
REQUIRED QUALIFICATIONS
- Knowledge and use of Salesforce/Delphi helpful – Run Reports, Contact Management, Generate contracts
- Knowledge and use of MS Office Products-Design, create excel reports and word memos
- Must have good communication skills
- Must be able to work nights and weekends as needed
- Must be able to work outside in sometimes inclement weather
- Preferable to be able to provide ski/ride tours with groups
- Must have a valid driver’s license with Certificate of Insurance and meet company insurability requirements
- Must be able to travel by vehicle when required, at times in winter driving conditions in Colorado
- Interact and maintain positive relationships with guests, co-workers, and management consistent with Steamboat Ski and Resort Company’s Service Excellence standards
- Communicate clearly in English, both verbal / non-verbal, and written

EDUCATION REQUIREMENTS
- High school diploma or GED equivalent, required
- Bachelor’s degree, preferred
The base hourly pay range below represents the low and high end of the Steamboat Ski & Resort Corporation’s hourly pay range for this position. Actual pay will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel. The range listed is just one component of Steamboat Ski & Resort Corporation’s total compensation package for employees. Other rewards may include many region-specific benefits.
Steamboat Resort hourly pay range: $23.21 - $24.21 per hour
Physical Requirements
- Must be able to lift up to 50 pounds
- Must be able to stand for long durations of time
- Must be able to walk for long durations of time
- Must be able to work in a seated position in front of a computer for prolonged periods of time
- Must be at least 18 years of age
- Communicate clearly in English, both verbal / non-verbal, and written
