What You’ll Do

As an Operations Supervisor, you’ll play a critical role in supporting the daily operations of our 900 Third Avenue office in New York. Working closely with the Operations Manager and the Senior Digital and Delivery Services Manager, you’ll help ensure a seamless, high-quality experience across Facilities, Mailroom, Digital Services, and administrative operations. This role blends hands-on operational oversight with team leadership, vendor coordination, and problem-solving to keep the office running efficiently, safely, and client-ready.
This is a fully onsite role supporting a dynamic, high-performing office environment.
- Daily Operations & Service Coordination: Receive, prioritize, and schedule facilities, mailroom, office supplies, digital/reprographic, and general administrative requests to ensure timely, high-quality service delivery.
- Digital, Reprographics & Mailroom Oversight: Manage and perform high-volume print, scan, and delivery requests using production-level Multi-Functional Devices (MFDs) while maintaining accuracy and efficiency.
- Facilities, Maintenance & Property Management: Oversee building repairs and maintenance (HVAC, plumbing, electrical, carpentry, and painting) and serve as the primary liaison with property management on service, safety, and operational needs.
- Vendor & Workplace Readiness Management: Maintain vendor relationships, schedule services, monitor performance, and conduct daily office walk-throughs to ensure spaces are safe, functional, and client-ready.
- Moves, Setups & Team Support: Coordinate internal office and furniture moves, new hire and visitor office setups, equipment rentals, and assist with staff scheduling, workload balancing, and coverage planning.
- Collaboration, Coaching & Reporting: Partner cross-functionally with Guest Services, Hospitality, and Technology Support; support onboarding and training; and track operational metrics to identify trends and improvement opportunities for leadership.
What You’ll Bring

Education: High school diploma required; a college degree or equivalent professional experience is preferred.

Experience: At least 5 years of experience in facilities, mailroom, or operations roles within a professional services or law firm environment.

Leadership & Reliability: Proven ability to lead by example, coordinate teams, and maintain a strong work ethic in high-demand settings.

Communication & Organization: Excellent written and verbal communication skills with the ability to manage multiple priorities under tight deadlines.

Technical & Operational Skills: Hands-on experience with postage machines, copying and binding equipment, Multi-Functional Devices (MFDs), basic hand tools, and facilities-related systems.

Technology Proficiency: Strong knowledge of Microsoft Outlook (required) and working proficiency in Word, Excel, and PowerPoint; familiarity with systems such as Event Management System (EMS), PlanOn or similar space management tools, request/ticketing platforms, Angus or similar property management software, and vinyl printing tools is a plus.

Physical Capability: Ability to stand or walk for extended periods and lift up to 50 pounds safely.

Compensation
The base salary range below represents the low and high end of the salary range for this position in New York City. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary. Compensation Range:
New York City: $100,000 - $138,000
