JOB SUMMARY AND QUALIFICATIONS
Position Summary
As a member of the Software Asset Management team (SAM) that focuses on maintaining software license compliance and software optimization for enterprise desktop, server and cloud environments, this role is primarily responsible for governance of HCA Healthcare’s Microsoft Enterprise Agreement (EA). Role is the organization’s subject matter expert on the Microsoft EA and the associated products, custom contract terms and non-standard use rights. Individual collaborates with other HCA Corporate teams to develop and maintain Microsoft product strategies, standards of use, and software request processes to facilitate appropriate distribution and use of Microsoft software products. Individual provides guidance and recommendations to the organization for the most optimal, cost effective, license compliant method of architecting the use of Microsoft products. In collaboration with the SAM managed services partner and other SAM team members, individual is responsible for leading enterprise license reporting in support of Microsoft license optimization and compliance risk mitigation activities, providing guidance and recommendations on annual Microsoft license true-ups, developing annual Microsoft EA budget and chargeback directives and supporting Microsoft EA negotiations as required.
Major Responsibilities:
- Provide subject matter expertise on the Microsoft Enterprise agreement in addition to any custom contract terms and non-standard use rights that may be applicable to the organization
- Collaborate with other HCA Corporate teams to develop and maintain Microsoft product strategies, standards of use, and software request processes to facilitate appropriate distribution and use of Microsoft software products
- Collaborate with Service Management and Infrastructure Operations teams to resolve discovery and inventory collection issues as related to Microsoft products
- Provide guidance and recommendations to the organization for the most optimal, cost effective, license compliant method of architecting and operationalizing the use of Microsoft products
- Monitor and report adherence to Microsoft software license entitlement usage statistics to minimize audit risk to the organization
- Participate on cross-departmental advisory committees to address Microsoft software licensing and audit issues
- Develop and maintain effective license position reporting for Microsoft products
- Identify and make recommendations to optimize Microsoft product license utilization
- Lead the analysis in determining annual Microsoft license true-up demands
- Present the enterprise Microsoft true-up recommendations to senior leadership
- Perform annual Microsoft EA budget analysis
- Lead the activity to calculate the Microsoft EA chargeback amounts by business unit and coordinate with HCA IT Finance on development of the annual IT communication directive to the enterprise
- Offer best-in-class consulting guidance when working with internal stakeholders from other departments, business units and divisions to address implementation of new or modified Microsoft software licensing models
- Identify and help institute cost savings and mitigate risk to the organization from ongoing Microsoft software maintenance and license optimization
- Train and mentor resources on the software asset management team
- Collaborate with HCA Product Owners of key Microsoft products to understand product usage and raise awareness of significant changes in license terms
- Coordinate and lead software license data gathering and analysis in support of Microsoft EA contract negotiations
- Create and manage Microsoft vendor relationship and business/technical relationships with VARs
Routine Responsibilities:
- Manage the Microsoft vendor relationship
- Manage the Microsoft software VAR relationship
- Maintain relationships with the SAM managed services partner specific to the needs and requirements of managing Microsoft license positions
- Support business owner and stakeholder strategy planning for Microsoft license purchases at an enterprise level
- Provide audit defense support for Microsoft server and desktop software products
- Support the development of Microsoft ELPs as required
- Provide Microsoft software license consulting and guidance to outside and affiliate business owners
- Facilitate relationships between the SAM team and enterprise user community for purposes of Microsoft product license use awareness
- Maintain knowledge and awareness of most-current Microsoft license product terms, use-rights and end of support / end of life and communicate impactful changes to the organization
- Provide Microsoft product and license guidance, as required, to HCA employees who request to purchase Microsoft products to ensure license and standards compliance
- Maintain excellent verbal and written communication in addition to outstanding customer service
- Performs other duties as assigned
