Position Summary:
We are seeking a high-performing BD Ops Program Manager to support the execution and ongoing maintenance of our sourcing operating model. This role is responsible for running the day-to-day operational engine behind deal origination: ensuring systems, data, reporting, processes and workflows function seamlessly and consistently across the team.
The role partners closely with the Director of Business Development and acts as the operational backbone of the sourcing function. This is an execution-focused role and is ideal for someone who thrives in structured, fast-paced environments and is comfortable working with senior investment professionals.
This full-time role is preferably based in Austin, TX and is for an immediate start.
Responsibilities:
Technical Execution & Maintenance:
- Manage BD systems (SFDC, Clari, etc), identify gaps/areas of improvement in our tooling and data structure, and propose improvements or new tools where needed
- Translate business needs into clear requirements for technical partners: acting as the liaison between the BD team and technical support (internal technology organization or external vendors).
- Test outputs, support rollout, and help drive adoption of new tools and workflows.
- Support Sr Operations Manager in:
- Further building out BD-related tech stack
- Formalizing AI enablement strategy; building AI-powered workflows and driving AI adoption across the team
Pipeline & Data Hygiene:
- Maintain accuracy and completeness of mid-funnel pipeline stages (SAL / SEL / SQL) in Salesforce.
- Own tagging, notes, and metadata updates to ensure the pipeline reflects true internal status.
- Maintain and regularly reconcile the team’s “Top Opportunity” list.
- Monitor data quality issues and proactively flag and/or correct gaps or inconsistencies.
Reporting & Insights Support:
- Pull, maintain, and distribute standard sourcing and pipeline reports for pods and leadership.
- Maintain and support ongoing improvements to existing dashboards and views (Salesforce, Clari, BI tools).
- Support ad hoc reporting requests tied to existing metrics and cadences.
“Chief of Staff” for Pipeline Meetings:
- Own preparation and execution of recurring sourcing cadences (pods, fund pipeline calls, leadership reviews).
- Build agendas, pull and prepare data, manage materials, and ensure meetings are run efficiently.
- Track action items and follow-ups to ensure accountability and consistency across pods.
- Support the Director of BD with meeting prep, facilitation support, and post-meeting follow-up.
BD Process Adherence & Enablement:
- Champion BD best practices: ensure teams follow established sourcing processes, definitions, and cadences.
- Support onboarding of new team members into sourcing workflows and tools.
- Assist with launches and enablement of process or tooling updates defined by leadership.
QUALIFICATIONS
- BS/BA required
- 3 - 6 years of experience in sales/revenue operations, preferably for a software or tech company, financial services firm, or any sales team with long sales cycle
- Experience with CRM systems (Salesforce preferred); exposure to Clari, BI tools, or similar platforms a plus.
- Experience with and/or interest towards AI platforms such as ChatGPT, n8n, or other similar tooling is a plus.
- Strong organizational skills with the ability to manage multiple recurring workflows.
- Detail-oriented, proactive, and execution-driven with strong follow-through.
- Ability to engage with senior stakeholders in a professional services, finance, or PE-backed environment.
- Clear communicator who can translate needs between business users and technical partners.
