Job Description
The Legal department is seeking an experienced and efficient Executive Assistant (EA) to support the fast-paced department. This person will partner daily with the leaders in the department to ensure needs of running the business are met. In addition to traditional EA responsibilities, this role will also support the broader Legal function.
The ideal executive administrative assistant is motivated, results oriented and committed to delivering outstanding customer service.
This role requires you to be in office a minimum of four (4) days per week in Seattle, WA.
A day in the life…
Executive VP Support:
- Manage and coordinate calendars for Legal VPs, including scheduling and booking conference rooms, catering and expense management as appropriate
- Manage VPs corporate card expenses, including monthly reconciliations and booking travel arrangements and reservations
- Provide administrative support to the VPs for commonly used platforms such as ServiceNow, DocuSign, Origami Risk, Concur and COUPA
- Liaison with Corporate Facilities and other department EAs to ensure the Legal function is always current and up to date with corporate campus news and act as the communicator of campus/enterprise-wide updates
Departmental Support:
- Manage incoming bills and invoices, and process and code appropriately for payment via our Risk Management Information System (RMIS)
- Review, sort and distribute Legal and Risk Management mail as well as support outgoing mail for the department
- Manage and oversee the phone line for Legal and route calls and voicemails appropriately
- Purchase and expense departmental supplies, and reconcile corporate cards for leaders as requested
- Perform event planning and coordination including end-to-end ownership of quarterly Town Halls, inclusive of preparation of materials, talking points and run of show
- Coordinate activities (meetings, presentations, conference rooms, etc.) across multiple teams
- Support Concur and COUPA expense management platforms for the department, inclusive of reconciliations or research efforts
- Review operating practices and procedures, determine whether improvements can be made and work with management to implement changes as appropriate
You own this if you have…
- Bachelor's degree in Business Administration, Legal Studies or equivalent training and/or experience
- 10+ years of administrative experience, with a combination of law firm, in-house, paralegal, and/or EA experience
- Ability to effectively build relationships with customers, peers and leadership
- Demonstrated flexibility and ability to multi-task in a fast-paced environment
- Strong organizational and problem-solving abilities
- Advanced proficiency in MS Office suite and Claude Desktop
- Clear and effective written and verbal communication and strong interpersonal skills
Pay Range Details
The pay range(s) below has been provided in compliance with state specific laws. Pay ranges may be different for other locations.
Pay offers are dependent on the location, as well as job-related knowledge, skills, and experience.
$31.75 - $50.50 Hourly
