The Marketing and Events Coordinator coordinates and executes assigned internal and external events and supports marketing activities as directed. Responsibilities include event logistics, scheduling, vendor coordination, and on-site support. - Coordinates and executes assigned aspects of marketing and corporate communications events such as receptions, meetings, charity events, trade shows, and employee/internal events.
- Duties include event logistics, scheduling, food and beverage, entertainment, guest lists, invite creation and delivery, registration/attendee tracking, and pre- and post-event evaluations.
- Executes event tasks such as set-up, breakdown, check-in, ensuring vendors perform duties, and coordinating activation of leads and opportunities as directed.
- Conducts research, makes site visits, and gathers resources to support decisions about event venues and opportunities. Provides feedback on event logistics when requested.
- Coordinates staff participation at events.
- Supports marketing initiatives and projects as assigned.
- Supports bank projects with marketing and communication needs as assigned.
- Communicates with vendors and venues to confirm arrangements as needed.
- Provides administrative support as needed to the Marketing Events team.
- Organizes and maintains shared files and brand/marketing assets.
- Processes invoices on a timely basis and submits to Finance for payment.
- Administers the process for employee requests for marketing materials on FiSi/Supply Manager, ensuring required information is complete and routing items for approval.
- Serves as photographer at events when assigned, taking photos as needed depending on event or venue requirements.
- Performs additional duties as needed to support the day-to-day activities of the marketing team.
- Participates in marketing and corporate communication duties as required to maintain workflow and meet schedules.
- Travels between assigned event locations and arrives on site in a timely manner according to the established event schedule.
Qualifications
- 2-4 years experience in event coordination and planning.
- Knowledge of MS Office, including Word, Excel, and Outlook.
- Knowledge of Monday.com or similar workflow platforms preferred.
- Experience using event management platforms (such as RSVPify, Cvent, Webex Suite, or Eventbrite).
- Ability to receive and provide constructive feedback appropriately.
- Highly organized and detail-oriented, with consistent attention to accuracy.
- Ability to manage multiple tasks and prioritize workload as assigned.
- Strong communication skills in all aspects.
