The Purchasing Specialist is responsible for executing day-to-day purchasing activities and coordinating supplier and production schedules to ensure uninterrupted manufacturing operations. This role manages procurement of raw materials—including single use items, materials, chemicals, and manufacturing consumables—while supporting vendor communication, build planning, and production scheduling in a regulated medical-device environment.
The ideal candidate is detail-oriented, organized, and comfortable working cross-functionally with Operations, Manufacturing, Quality, and external suppliers to maintain material availability, cost control, and compliance.

KEY RESPONSIBILITIES
Purchasing & Procurement:
- Execute purchase orders for raw materials, components, chemicals, and indirect manufacturing supplies.
- Monitor inventory levels and reorder points to support production schedules and prevent shortages or excess inventory.
- Coordinate order confirmations, lead times, deliveries, and expediting activities with suppliers.
- Maintain accurate purchasing records, pricing, and supplier documentation within ERP/MRP systems.
Vendor Coordination & Scheduling:
- Serve as a primary point of contact for assigned suppliers regarding order status, delivery schedules, and capacity planning.
- Coordinate vendor schedules to align with build plans and production requirements.
- Communicate changes in demand, forecasts, or production priorities to suppliers in a timely manner.
- Support supplier performance tracking (on-time delivery, responsiveness, and quality trends).
Production & Build Planning Support:
- Partner with Manufacturing, Operations, and Planning teams to support production schedules and material readiness.
- Assist with build planning activities by ensuring materials are available to support planned and ad-hoc production runs.
- Identify and escalate material or supplier risks that may impact production timelines.
Quality & Compliance:
- Ensure purchasing activities comply with internal procedures, FDA QSR, ISO 13485, and other applicable regulatory requirements.
- Work closely with Quality to ensure supplier documentation, certifications, and change notifications are maintained.
- Support audits and inspections by providing purchasing and supplier records as needed.
Continuous Improvement & Administrative Support:
- Identify opportunities to improve purchasing processes, supplier communication, and scheduling efficiency.
- Support cost control initiatives through pricing reviews, alternate sourcing, and usage tracking.
- Assist with supplier onboarding and internal documentation updates.
BASIC QUALIFICATIONS
- Associate’s or Bachelor’s degree in Supply Chain, Business, Operations, or a related field, or equivalent experience.
- 2+ years of experience in purchasing, procurement, or supply chain coordination, preferably in medical devices, manufacturing, or a regulated environment.
- Experience purchasing raw materials, chemicals, or manufacturing components.
- Working knowledge of ERP/MRP systems and purchasing workflows.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Effective written and verbal communication skills for supplier and internal coordination.
PREFERRED QUALIFICATIONS
- Experience in medical device, biotech, pharmaceutical, or tissue-based manufacturing.
- Familiarity with production scheduling, build planning, or materials planning.
- Understanding of FDA QSR, ISO 13485, or GMP environments.
- Experience supporting supplier performance metrics and audits.
