Tournament Volunteer Coordinator

Reports to: Director of Tournament Services

The Tournament Volunteer Coordinator of the Charles Schwab Challenge at Colonial Country Club is responsible for the year-round coordination, administration, and execution of the volunteer program for our annual PGA TOUR event. This position serves as the primary point of contact for tournament volunteers and works closely with volunteer committee chairs, tournament staff, Colonial Country Club leadership, and PGA TOUR representatives to recruit, register, communicate with, schedule, train, and support the volunteer team. Success in this position is ultimately measured by having the right volunteers, in the right positions, properly informed and prepared, while creating an experience that makes volunteers want to return to the Charles Schwab Challenge year after year.

Job Responsibilities:

Volunteer Recruitment & Registration

• Coordinate the year-round recruitment and registration of tournament volunteers.
• Develop and execute strategies to recruit new volunteers while encouraging the retention and return of existing volunteers.
• Manage volunteer registration information and maintain volunteer records within the tournament's volunteer management system.
• Maintain documentation and historical information that support future tournament planning.
• Monitor registration levels by committee and proactively identify areas requiring additional recruitment.
• Respond to volunteer questions regarding registration, committee assignments, schedules, requirements, and tournament duties.

Volunteer Committee Coordination

• Serve as the primary tournament staff contact for volunteer committee chairs and volunteer leadership.
• Develop strong year-round relationships with committee chairs and key volunteer leaders.
• Coordinate and participate in committee chair meetings, planning sessions, and pre-tournament walkthroughs.
• Ensure committee chairs have the information, resources, schedules, and materials necessary to successfully manage their volunteers.
• Track volunteer registration and staffing progress throughout the tournament planning cycle.
• Prepare volunteer participation reports and post-tournament summaries.

Volunteer Communication

• Communicate registration information, schedules, assignments, training materials, parking information, tournament updates, and policies.
• Serve as a responsive and knowledgeable resource for volunteers before, during, and following tournament week.
• Develop volunteer guides, handbooks, FAQs, newsletters, and other communication materials as appropriate.
• Develop annual volunteer recognition strategy each calendar year.

Volunteer Fulfillment & Tournament Preparation

• Mange the order and distribution of volunteer credentials, uniforms, parking information, meals, gifts, and recognition items.
• Plan in-person and/or virtual volunteer training sessions as appropriate.
• Work with tournament operations and other departments to ensure supplies and resources are available for volunteer committees.
• Assist with the planning, setup, and organization of Volunteer Headquarters.
• Maintain accurate inventory and records associated with volunteer materials and fulfillment.

Tournament-Week Volunteer Operations

• Oversee the daily operation of Volunteer Headquarters during tournament week.
• Serve as a primary on-site resource for volunteers and committee leadership.
• Monitor with Tournament Committee volunteer attendance, committee staffing, daily operational needs, and addressing staffing needs.
• Coordinate closely with tournament operations, Colonial Country Club staff, and PGA TOUR representatives.
• Maintain a visible presence throughout tournament week and ensure volunteers receive timely information and support.
• Ensure all interactions reflect the hospitality, professionalism, and tradition of Colonial Country Club and the Charles Schwab Challenge.

Volunteer Recognition & Retention

• Assist in developing programs designed to recognize and thank tournament volunteers for their service.
• Coordinate volunteer appreciation activities and recognition efforts before, during, and following the tournament.
• Solicit and organize feedback from volunteers and committee leadership following the tournament.
• Identify opportunities to continually improve volunteer experience.

Qualifications:

• Previous experience in volunteer coordination, event management, hospitality, sports, golf, nonprofit organizations, or a related field.
• Bachelor's degree preferred, or equivalent combination of education and relevant experience.
• Strong organizational skills with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Strong interpersonal skills and the ability to build relationships with volunteers of varying backgrounds and experience levels.
• Demonstrated customer-service mindset and ability to respond professionally to questions and concerns.
• Ability to manage multiple projects, deadlines, and priorities simultaneously.
• Strong problem-solving skills and the ability to remain composed in a fast-paced event environment.
• Comfortable leading meetings, orientations, training sessions, and presentations.
• Effectively manage volunteer registration, scheduling, communication, and event-management platforms.
• Knowledge of golf, professional golf tournaments, or PGA TOUR events is a plus.
• Willingness to work extended hours, evenings, weekends, and holidays during key tournament preparation periods and tournament week.

Shift Times: Monday-Friday, 9AM-5PM; Potential for OT
