Position Summary

The Receptionist & Volunteer Coordinator serves as the welcoming face of our nonprofit dance school and is often the first point of contact for students, families, volunteers, and community members. This position supports daily front desk operations, student enrollment, communication, volunteer coordination, and performance event management. The ideal candidate is organized, personable, detail-oriented, and passionate about supporting the arts and youth education.

Key Responsibilities Front Desk & Student Support

• Serve as the first point of contact for students, families, and guests, answering questions, addressing concerns, and managing general inquiries
• Orient and welcomes new families to the studio
• Provide excellent customer service in person, by phone, and via email
• Maintain a welcoming, professional, and organized front desk environment
• Assist students and families with schedules, class information, policies, and studio procedures

Enrollment & Administrative Support

• Process enrollment and registration for new and returning students
• Maintain accurate student records and attendance information
• Assist families with tuition questions, forms, and program information
• Support communication regarding school calendars, performances, and special events
• Manage the staff Google calendar and Zoom scheduling
• Attend staff meetings and take minutes

Volunteer Coordination

• Recruit, schedule, and communicate with recital and event volunteers
• Coordinate volunteer appreciation events
• Lead training for and support volunteers during events and performances
• Oversee student check-in and out and backstage readiness

Qualifications

• Strong communication and interpersonal skills
• Excellent organizational and multitasking abilities
• Experience in customer service, administration, or event coordination preferred
• Ability to manage sensitive situations professionally and calmly
• Comfortable handling money and basic bookkeeping procedures
• Proficiency with email, spreadsheets, and office software
• Availability to work evenings and weekends during performances and special events
• Interest in dance, arts education, or nonprofit work preferred

• Required: High school diploma or equivalent

Compensation & Schedule

• $22 hour, 16-20 hours per week
• Monday through Thursday 3-7pm, weekends as needed for event support
• Benefits: sick time, PTO, continuing education, tuition reimbursement for self and dependents

About Us

A registered 501(c)3 since 2008, Fidalgo DanceWorks (FDW) is the largest nonprofit dance school north of Seattle, currently serving 380+ students and their families. Our mission is to provide excellence in dance education and performance for all. FDW offers 70+ classes each week for students of all ages and abilities. With three studio spaces, sprung floors, a family-friendly environment, professionally trained instructors, and three major performances each year, we attract dancers from throughout the greater Skagit Valley, Whidbey Island, and the San Juans. We offer more than a dozen styles of dance, tumbling, and fitness, including ballet, modern, jazz, hip hop, lyrical, and tap, along with special programming for young children and adults with movement challenges. Pay: From $22.00 per hour
