Accounting & Hotel Development Project Coordinator
Department: Finance / Hotel Development
Reports To: Executive Vice President & Corporate Controller
FLSA Status: Exempt (or Non-Exempt, based on final classification)
Position Summary
The Time Accounting & Hotel Development Project Coordinator is a hybrid role that combines accounting support with project coordination for Capital Management Inc.'s hotel development initiatives. This position provides day-to-day accounting and administrative support while serving as the primary project liaison for the company's hotel development projects, ensuring communication, documentation, accountability, and project milestones remain on track.
During the anticipated 12–18-month development period, approximately 60% of this role will focus on coordinating the University of Kansas hotel development project, with the remaining 40% dedicated to finance and accounting support.
Essential Duties & Responsibilities
Accounting & Administrative Finance Support (Approximately 40%)
- Process accounts payable invoices accurately and timely.
- Assist with invoice coding, routing, approvals, and payment processing.
- Perform daily revenue reconciliations and investigate discrepancies.
- Prepare and organize credit card chargeback documentation.
- Reconcile and process corporate credit card expenses.
- Coordinate with the Corporate Controller and Accounting team to resolve outstanding accounting items.
- Maintain organized financial documentation and support month-end closing activities.
- Assist with various accounting projects and administrative functions as assigned.
Hotel Development Project Coordination (Approximately 60%)
- Serve as the primary project coordination liaison for the Executive Vice President and ownership team during the University of Kansas hotel development project.
- Attend development, construction, ownership, design, and stakeholder meetings.
- Represent Capital Management Inc. professionally during meetings when appropriate.
- Document meeting minutes, agendas, action items, and key decisions.
- Maintain comprehensive project schedules, timelines, and milestone tracking.
- Monitor open issues and ensure responsible parties—including EPC, Arrival, ESG, Marriott, Multi-Studio, KU, and CMI—complete assigned action items.
- Coordinate communication among project stakeholders to promote timely decision-making.
- Organize and maintain project documentation, including:
- Contracts
- Budgets
- Pro formas
- Construction schedules
- Correspondence
- Development documents
- Follow up with EPC and other development partners regarding outstanding requests and project deliverables.
- Prepare concise executive project status updates for leadership.
- Identify potential project delays or risks and communicate concerns proactively.
- Assist with special projects and additional development initiatives as assigned.
Qualifications
- Associate or bachelor’s degree in accounting, Finance, Business Administration, Project Management, or related field preferred.
- 3–5 years of experience in accounting, project coordination, executive administration, hospitality, commercial construction, or a related field.
- Hospitality, hotel development, commercial construction, or real estate development experience is preferred.
- Experience working with multiple stakeholders and managing competing priorities.
- Strong organizational and project management skills.

- Familiarity with hospitality operations and Marriott brand standards.
- Experience preparing meeting minutes, project documentation, and executive summaries.
Physical Requirements
- Ability to sit for extended periods while working on a computer.
- Occasionally lift up to 25 pounds.
- Ability to travel to meetings and project sites as needed.
Work Environment
- Professional office environment with periodic travel to project sites, hotels, and stakeholder meetings.
