The Transportation Services Division (TSD), State Centralized Fleet Authority Bureau (SCFA) manages the state's fleet of vehicles, ensuring safe, reliable, and cost-effective transportation solutions for state agencies. TSD provides vehicle leasing, maintenance, fuel services, and fleet management expertise to support government operations statewide. In addition, TSD manages the acquisition, inventory, and disposal of surplus state property.
Why does the job exist?
This position provides customer service and administrative support for the Albuquerque Short-Term Vehicle Leasing Office within the State Centralized Fleet Authority Bureau of the Transportation Services Division. The position supports daily leasing operations and assists state agencies with their vehicle leasing needs.
How does it get done?
Key responsibilities include:
- Coordinate short-term vehicle reservations, confirmations, and dispatches using the fleet management system. Conduct pre-trip vehicle inspections and verify valid driver¿s licenses and defensive driving certifications.
- Serve as a leasing coordinator between TSD and assigned state agencies, including preparing and maintaining vehicle lease agreements, agency vehicle reports, and mileage reporting.
- Receive and process Automobile Loss Notices and ensure required documentation is complete, including photographs, police reports, repair estimates, and deductibles. Serve as a liaison between Risk Management and repair facilities.
- Review and pre-audit vendor invoices for maintenance and repairs performed on TSD-owned and leased vehicles and enter invoice information into the fleet management system.
- Review and distribute monthly preventive maintenance reports and monitor monthly usage reports for long-term leased vehicles assigned to state agencies.

Minimum Qualification
High School diploma or Equivalency and two (2) years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements
Must possess and maintain a valid NM Driver License. Must obtain a Defensive Driving certification once employed.
This is a safety sensitive position and subject to random drug testing.
Working Conditions
Work is performed in an office setting. Some travel required to attend training/certification classes, vehicle inspections and make vendor/customer presentations as required.
