Summary
Performs the full range of technical duties to maintain the creation of position key coding and organizational structure in Human Resources Information Systems; creates queries and produces reporting; audits transactions for accuracy and compliance; collaborates across the Division; provides guidance to school-based administrators and central office staff.
Qualifications
Required
- Any combination of education and experience equivalent to an associate degree in business, finance, human resources, or related subject.
- Two (2) years of experience in HRIS systems, database functionality, employee processing workflows, or related field.
- Advanced degree(s) beyond the minimum degree requirement in a relevant field may be considered for some experience.
- Knowledge of school division policies, procedures, and regulations for assigned office.
- Knowledge of how HRIS software and organizational structure links to performance evaluation and timekeeping applications.
- Proficiency in the use of technology, including skill in Excel and Access.
- Ability to analyze and accurately manipulate large data subsets.
- Ability to provide subject matter expert guidance and training on issues.
- Ability to establish and maintain effective working relationships.
- Ability to communicate clearly and concisely, both orally and in writing.

Major Duties/Essential Functions
- Provides divisionwide support for all aspects of position management.
- Utilizes HRIS access to create position keys and modify position keys as they pertain to reclassifications, fully funded and traded changes, work schedule changes, and organizational structure.
- Creates database queries and ad hoc reports to ensure data accuracy and audit personnel information further.
- Reviews and analyzes individual employee employment history, personnel detail reports (PDR), web-based organizational chart views, current position keys and obsolete position keys.
- Conducts data accuracy audits on current and historic position transactions to ensure policy compliance and maintain processing standards.
- Utilizes Lawson Add-in software programming to export large datasets and update school-based organizational structures.
- Reviews and analyzes position grades and job specifications to ensure the accuracy of performance evaluation and time attendance authorization workflows.
- Collaborates across the Division to maintain supervisor structures, which impact MyPDE and MyTime software activity.
- Safeguards the confidentiality of employee information entrusted to the Office of Employee Services and Operations.
- Partners with the Offices of Benefits Services, Budget Services, and Talent Acquisition & Management to review and confirm that classification requests, movement of authorized FTEs, and organizational changes are fully documented, authorized, and complete.
- Provides consultation and guidance to school-based administrators and administrative assistants on processes and procedures related to organizational structure updates.
- Identifies challenges in initiatives, processes, and policy and recommends potential solutions to the immediate supervisor.
- Supports IT with HRIS development and upgrade initiatives that relate to transaction processing and recordkeeping.
- Ensures compliance with recordkeeping procedures by providing oversight on document tracking.
- Responds to requests for personnel record information in accordance with departmental policy, ensuring that all protocols related to authorization of information release are enforced.
- Verifies employment information for Virginia Retirement System (VRS).
- Performs other duties as required or assigned.
