INTRODUCTION
Our opening for Operations Coordinator is to support Operations Department both in the office and at show site in the performance of key administrative activities with primary focus on Electrical Services.
The Operations Coordinator position for the Electrical Service Department assists in the pre-planning of electrical needs on shows with exhibitors and reaching our goal of 87% of electrical information on every show, so that we can execute the services on-site and install as much power required for the show prior to the exhibitor’s arrival. Once on-site the team can work any of the three positions at each show, service desk, and dispatch desk and data entry coordinator. After each show the coordinator is also involved with helping exhibitors who need help clarifying their electrical billing.
Responsibilities:
- Proactive contact to exhibitors to receive electrical orders.
- Follow-up contact with exhibitors to clarify orders.
- Transfer electrical labor orders to power floor plan.
- Process electrical orders and generate labor tickets for electrical types of labor.
- Review and audit electrical orders against floor plans ensuring their accuracy.
- Assist exhibitors at show site with any new orders or changes to existing orders.
- Organize electrical orders to ensure correct dispatching at show site.
- Effectively dispatch electrical labor at show site. Ensure proper work documentation and electrical billing accuracy.
- Data entry and audit of electrical labor produced at show site.
- Prioritize tasks & responsibilities to meet deadlines and complete highest priorities first.
- Keep Managers and Team Managers up to date on all issues.
- Perform all duties with the utmost integrity avoiding any conflict of interest between GES and any other entities.
- Perform other duties as assigned by management.
QUALIFICATIONS
- Valid Driver's License
- College graduate preferred/High School diploma required
- Demonstrate leadership ability
- Knowledge of Tradeshow industry, preferred but not mandatory
- Excellent organizational and communication skills
- Proven verbal and written communication skills
- Detail-oriented
- Ability to effectively manage multiple projects
- Ability to work nights and weekends and possible holidays is required
- Must be able to work flexible schedule work hours, shifts or days worked will vary due to show schedules and adapt to short notice of schedule changes – standard non-show hours are 7am-3:30pm in an office environment
- Minimal travel is required (pre-show team). Up to 40% travel (show site team).
WORK ENVIRONMENT:
- Frequently performs work on the tradeshow floor, in noisy and crowded areas while enduring uncomfortable temperatures, dust and/or other conditions
- Job requires walking, bending, handling, reaching, grasping, lifting 25+ lbs., and repetitive motions
- Job requires long hours during show runs with varying stop and start time both early AM and late PM
- Requires working alone at times and also with others in a team atmosphere
- Work performed in office setting and also remotely from home during non-show responsibilities includes sitting at computer for long periods of time
- Will work with and report to multiple managers both in a city and national level
