Position: Project Coordinator
We are seeking a highly organized and detail-oriented Project Coordinator to support our Project Management team with administrative and operational functions related to Architecture and Engineering projects. This role assists Project Managers with project setup, documentation, coordination, invoicing, proposal support, subcontractor administration, and project closeout activities. The ideal candidate is proactive, organized, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities:
- Support Project Managers with project administration activities across multiple projects and task orders.
- Assist with project setup and maintenance in Ajera, including project updates and client information management.
- Identify and communicate project data discrepancies or anomalies to Project Managers.
- Assist with proposal creation using established templates and project information provided by technical staff.
- Create and maintain project folders and organize digital project documentation.
- Process and distribute project-related correspondence and documentation, including scanning and filing contracts and project records.
- Coordinate subcontractor documentation, including Certificates of Insurance (COIs), W-9 forms, affidavits, and subcontract agreements.
- Assist with preparation of AIA contract documents, contractor qualification statements, change orders, and related project documentation.
- Prepare project support documents including pre-bid sign-in sheets, meeting minutes, bid tabulations, and plan holders lists.
- Support project invoicing, pay applications, certificates of completion, and project closeout documentation.
- Maintain and update project-related templates and standardized documentation.
- Coordinate with internal departments to support project tracking, invoicing, and project completion activities.
- Assist with special projects and additional administrative support tasks as assigned.
Job Requirements:
- Associate degree preferred.
- Strong communication, organizational, and time management skills.
- Ability to manage multiple tasks and priorities effectively.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams).
- Experience with Ajera or similar project management/accounting software is a plus.
- Strong attention to detail and accuracy in documentation.
- Ability to work collaboratively with project managers, technical staff, subcontractors, and clients.
- Ability to maintain confidentiality and professionalism in handling project information.
- Must be authorized to work in the United States.
- Pre-employment drug test, background check, and valid driver’s license required.
