Position Summary
Administrative support for University Advancement and Mission Integration.
Essential Duties and Responsibilities
- Expense report process and submission
- P-card expenditures
- Support cultivation events, prep and registration
- Support Mission Formation events, prep, and registration
- Inventory and maintenance of department office supplies
- Compose administrative letters, reports, forms and other documents
- Business Manager for both UA and MI: Reconcile and track UA and OMI budgets, process invoices for payment, work within Banner
- Event Coordination
- The Position plays a key role in supporting the Vice President of University Advancement and the Vice President for Mission Integration in the preparation of high-level documents, record keeping, and in engagement with the Board of Trustees and UDM's Religious Sponsors
Minimum Qualifications
Education – A college degree
Employment - Two years to five years, preferably in C-Suite (Equivalent combination of education and employment)

Experience supporting C-Suite executives
Knowledge, Skills, and Abilities
- Demonstrates extensive high-level administrative experience supporting senior level leaders
- Experience with budgets and providing reports within Excel and other related spreadsheet/budget software
- Advanced computer skills in Microsoft Office, including high-impact PowerPoint presentations
- Ability to communicate professionally and effectively in person, by phone and in writing
- Exemplary proofreading skills
- Exceptional planning and organizational skills
- Demonstrates ability to handle sensitive issues and maintain confidentiality
- Demonstrates excellent ability as team player with a high level of professionalism, flexibility, discretion, judgment, diplomacy, tact and kindness
- Exceptional ability to multi-task and adapt to changing priorities while still meeting deadlines
- Excellent people skills with demonstrated ability to work well with all levels of staff, alumni, external organizations and groups
- Program Coordinator for Mission Integration: planning and maintaining calendar of events and proactively coordinating venue, speakers, catering, invites, event set-up and consistent follow up to ensure a successful event. Collaborate with University Ministry, Representatives of Community Engagement, Solidarity and Belonging; and Marketing & Communications to ensure effective visibility
- Knowledgeable about either Jesuit or Mercy Education Tradition (it is important that applicants demonstrate knowledge of the Mission of the University)
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).

Anticipated Schedule
Monday to Friday 8:30 AM to 5:00 PM (This position will NOT be HYBRID, i.e., no remote options).
