JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:
The Medical Administrative Specialist schedules patient visits for students in the College of Dentistry, reviews electronic health records (EHR), treatment plans, and student portfolios to monitor compliance with clinical protocols. This position meets students for portfolio reviews, assists patients with balance and appointment issues, supports Group Leaders in managing compliance concerns, and provides student progress reports. The role ensures timely dental treatment for patients and adequate clinical experience for students.
- Manages patient scheduling through direct contact and recall systems based on treatment sequencing.
- Utilizes AxiUm clinic management system to review patient records and treatment plans.
- Responds to patient questions regarding treatment and procedures.
- Verifies student appointment requests align with treatment plans.
- Monitors rotation changes, vacation requests, cancellations, and failed appointments.
- Identifies deviations in documentation and risk management.
- Addresses routine inquiries related to costs and insurance claims.
- Tracks student attendance and provides daily roll call reports to Group Leaders.
- Monitors EHR and reports to identify non-compliant behavior.
- Performs other duties as assigned.
Education:
High School Diploma or GED. (TRANSCRIPT REQUIRED)
Experience:
Two (2) years of administrative experience; OR Associate’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of dental clinic operations and patient scheduling systems.
- Skill in navigating electronic health records and reporting tools.
- Ability to manage multiple priorities in a fast-paced clinical environment.
- Knowledge of dental procedures and terminology to support scheduling and compliance.
