JOB DESCRIPTION - WEDDING SALES CONSULTANT
Title: Wedding Event Consultant
Department: Sales & Planning
Main Function: Sell, plan, and manage wedding events from inquiry through post-event reconciliation
Reports To: Assistant Director of Sales and Director of Sales
The Wedding Event Consultant is responsible for managing the complete client journey, from initial inquiry and proposal development through event planning, ensuring successful execution and post-event reconciliation. This position combines sales, event planning, project management, and client relationship management into a single role.
The position requires a commitment to hospitality, consultative selling, exceptional organization, and attention to detail. Wedding Event Consultants build strong client relationships, guide couples through important event decisions, and ensure all event details are planned and communicated effectively. This role serves as both the salesperson and planner, providing a seamless and personalized experience for each client.
Essential Functions:
- Respond promptly and professionally to wedding inquiries and maintain consistent follow-up throughout the sales process.
- Conduct discovery calls, venue tours, tastings, site visits, and client meetings.
- Build proposals that reflect the client's vision, priorities, budget, and event requirements.
- Close wedding business while maintaining established company revenue and profitability goals.
- Serve as the primary point of contact for clients from signed contract through event completion.
- Build strong relationships through proactive communication and exceptional service.
- Guide clients through menu selections, event logistics, timelines, floor plans, rentals, beverage packages, floral selections, and overall event design.
- Manage multiple weddings simultaneously while maintaining accuracy and attention to detail.
- Coordinate rentals, vendor logistics, and venue requirements.
- Collaborate with culinary, beverage, floral, and operations teams to ensure successful event execution.
- Identify potential challenges and proactively develop solutions before event day.
- Ensure all event details, revisions, and approvals are accurately documented in company systems.
- Manage event budgets, revisions, contracts, and billing details.
- Recommend additional services/enhancements that improve guest experience while supporting revenue goals.
*Ensure event staffing levels align with service requirements and accurately reflect all service revisions within event contracts and planning documents.
- Build and maintain relationships with venues, vendors, and industry partners.
- Participate in networking events, wedding shows, sales meetings, and training opportunities.
- Adhere to Vibrant Table standards, processes, pricing guidelines, and brand expectations.
Requirements
- Minimum of 3-5 years of experience in wedding planning, event sales, hospitality, catering, venues, or event management.
- Proven ability to build client relationships and successfully close business.
- Strong organizational and project management skills.
- Ability to manage multiple clients, deadlines, and event details simultaneously.
- Excellent written and verbal communication skills.
- Exceptional customer service and relationship-building abilities.
- Confidence discussing budgets, pricing, contracts, and event logistics.
- Proficiency in Microsoft Office and event management software.
- Knowledge of Portland-area venues and wedding vendors preferred.
- Ability to work a flexible schedule, including evenings and weekends as needed.
- Passion for hospitality, food, design, and creating memorable experiences.
Additional Duties
Participation in team meetings, training programs, networking events, and company initiatives.
Any other duties as assigned by the Assistant Director of Sales and Director of Sales.
Pay: $65,000.00 - $80,000.00 per year
