Job title: Events and Meetings AV Tech
Job Summary:
We are seeking a dedicated and experienced Events and Meetings AV Tech to join our team. The ideal candidate will be responsible for coordinating, supporting, and managing all AV-related aspects of meetings and events across our Club’s venues, dining operations, and other Club’s departments. This role ensures the seamless operation of audio and visual equipment at varying scales and times.
Essential Responsibilities:
Assist the AV Manager in all the following functions:
- Event AV Coordination:

Coordinate AV setup, provide live support during events, and manage the breakdown of AV equipment for meetings and events.

Client Assistance:

Assist clients in arranging AV presentations and montages as required.

Zoom Account Management:

Manage the Club's Zoom account, responsible for assigning accounts and sign-in credentials to authorized users.

Primary Contact for AV Coverage:
- Act as the primary point of contact for coverage, troubleshooting, and vendor communication for various accounts and equipment.

Oversee the Club's Hotwire and Directv Cable accounts and equipment, Mood Media Mix, Hotwire Phone System, Avigilon Camera Systems and Software, and Relay Communication Software and Devices.

Technical Support:
- Provide support and troubleshooting for the Club's TVs, Crestron iPads, Switches, TVs, sound, and lighting fixtures.

Ensure optimal functionality across all equipment.

Research and Procurement:
- Conduct research and purchase AV event equipment, staying on top of technological advancements to meet evolving needs.
Knowledge and Skill Requirements:
- AV Country Club experience is preferable.
- Proven experience in AV setup, support, and troubleshooting.
- Strong technical skills with AV equipment.
- Familiarity with Zoom, Crestron, Avigilon, and other relevant AV and communication systems.
- Excellent organizational and multitasking abilities.
- Strong communication skills for effective client and vendor interactions.
- Ability to stay updated with technological advancements and trends in AV equipment.

Does event planning work qualify as CPT for my F-1 program?
CPT qualifies when the work is an integral part of your established curriculum, meaning your program of study must include a cooperative education component or internship requirement that the event planning role fulfills. A general business or hospitality major isn't automatically sufficient. Your DSO evaluates whether the specific duties, such as vendor contracting, budget management, or logistics coordination, map directly to your coursework. Get that connection documented before you accept an offer.
Can I work full-time as an Event Planner on CPT during the school year?
Full-time CPT during the academic semester is permitted if your program requires it, but the 12-month rule applies. Using full-time CPT for a cumulative 12 months makes you ineligible for OPT after graduation. Part-time CPT carries no such restriction. Event planning internships that run during semester breaks typically count as part-time CPT regardless of the hours worked, since class is not in session.
What documents do I need to start a CPT Event Planner job?
You need a signed employer offer letter specifying your job title, duties, start date, work location, and hours per week. Your DSO uses that letter to update your I-20 with the CPT authorization. You cannot begin work until you have the updated I-20 in hand, even if your employer has already processed onboarding paperwork. Bring both the updated I-20 and your current EAD if applicable to your first day.
How do I find Event Planner employers who understand CPT hiring?
