Providence Promise is seeking a dynamic, detail-oriented Finance & Operations Coordinator to join our team. This position plays a critical role in maintaining the organization’s financial systems, operational infrastructure, and internal processes while supporting organizational growth and impact. The Finance & Operations Coordinator reports directly to the Executive Director and works collaboratively with all members of the team to ensure the organization operates efficiently and effectively.

Primary Responsibilities
Finance & Accounting
Manage the organization’s day-to-day financial operations, including:
- Maintain general accounting policies and financial procedures.
- Record cash receipts and disbursements.
- Process payroll and administer employee benefits.
- Prepare and post journal entries.
- Reconcile bank accounts and prepare monthly reconciliation packages.
- Monitor and report on balance sheets, profit and loss statements, and other financial reports.
- Assist with annual audit preparation and serve as liaison with the organization’s accounting firm.
- Collaborate with the Executive Director to develop, monitor, and report on organizational budgets.
- Prepare financial reports comparing actual expenses to budget.
College Savings & Scholarship Administration
Support the organization’s college savings initiatives by:
- Monitoring family 529 College Savings Account balances and contributions.
- Reviewing quarterly account statements to calculate cumulative family savings and identify families who may benefit from additional case management support.
- Managing the Omnibus Accounts.
- Processing monthly Early Scholarship incentive deposits into student accounts.
- Maintaining accurate financial records related to incentive distributions.
Data & Systems Management
Maintain accurate organizational data and strengthen internal systems by:
- Managing donor and revenue records in EveryAction.
- Recording all cash, check, electronic, and in-kind contributions.
- Generating recurring financial, fundraising, and organizational reports.
- Supporting organizational databases, including EveryAction, Outcome Tracker, and other internal data systems.
- Identifying opportunities to improve organizational systems and operational efficiency.
Operations & Office Management
Help maintain an organized, welcoming, and efficient workplace by:
- Maintaining office systems and operational procedures.
- Managing office supplies and equipment inventories.
- Coordinating office maintenance and organization.
- Maintaining payroll systems and internal administrative records.
- Tracking staff birthdays, work anniversaries, and other team milestones.
- Assisting with planning staff retreats, strategic planning sessions, and team-building activities.
Organizational Support
As a member of a small, collaborative nonprofit team, the Finance & Operations Coordinator will:
- Work closely with the Executive Director and other staff on cross-functional projects.
- Participate in staff meetings, strategic planning, and professional development.
- Perform other duties as assigned.
Pay: $55,000.00 - $60,000.00 per year
